Job Description
The Maintenance Spare Parts Coordinator ensures maintenance technicians have timely access to required spare parts by managing inventory, processing requests, and coordinating procurement.
Main Responsibilities:
· Serve as the primary contact point for maintenance technicians regarding spare parts requests.
· Manage inventory of spare parts and ensure accurate stock levels to meet maintenance needs, including setting minimum and maximum stock levels for efficient inventory management.
· Receive and inspect incoming spare parts for quality and quantity, ensuring they meet specifications.
· Organize spare parts in the storage areas for easy access and identification by maintenance staff.
· Maintain accurate records of all spare parts transactions and usage by maintenance teams.
· Prepare and process purchase orders for spare parts based on maintenance requests, ensuring timely procurement.
· Coordinate with suppliers for timely delivery of spare parts to minimize downtime.
· Conduct regular stock audits to identify discrepancies and ensure inventory accuracy.
· Implement and maintain an effective inventory management system tailored for maintenance operations, including tracking of minimum and maximum stock levels.
· Ensure compliance with safety and health regulations in the storage area of spare parts.
· Assist in the development of inventory control policies and procedures specific to maintenance needs.
· Provide support to maintenance teams by promptly supplying necessary parts for repairs.
· Monitor the shelf life of spare parts and report obsolete stock effectively.
· Maintain cleanliness and organization of the storage area to facilitate quick access for maintenance.
· Assist in forecasting spare parts needs based on maintenance usage trends and historical data.
· Handle returns and exchanges of defective or incorrect spare parts in coordination with the maintenance planner.
· Collaborate with maintenance and procurement departments to ensure timely availability of parts.
· Prepare reports on inventory levels, spare parts usage, and maintenance requests, including analysis of stock levels against minimum and maximum thresholds.
· Utilize inventory management software to track spare parts and maintenance requests efficiently.
· Ensure proper labeling and documentation of all spare parts for easy identification.
· Respond to inquiries from maintenance technicians regarding spare parts availability and specifications.
· Manage the disposal of obsolete or damaged spare parts in accordance with company policies.
· Stay updated on industry trends and new spare parts technologies to improve procurement processes.
· Establish relationships with multiple suppliers to ensure competitive pricing and availability of spare parts.
Qualifications
Knowledge, Skills and Exerience:
· Diploma in engineering, industrial technology, materials science, or a related technical field.
· Experience in inventory management or procurement within a maintenance or technical environment.
· Familiarity with mechanical, electrical, and material properties relevant to spare parts.
· Hands-on experience with inventory management software and CMMS.
· Certification in inventory management, supply chain, or logistics (e.g., APICS, CIPS) preferred.
· Training in the use of CMMS or relevant inventory management systems.
· Valid forklift operator certificate.
· Strong knowledge of spare parts inventory management principles and best practices.
· Ability to identify and understand material chemical compositions and properties of spare parts.
· Proficiency in using Computerized Maintenance Management Systems (CMMS) and inventory management software.
· Ability to interpret technical manuals, part catalogs, engineering drawings, and material specifications.
· Excellent organizational and record-keeping skills with a high level of precision and attention to detail.
· Strong analytical, investigative, and problem-solving abilities; able to dig into details and verify information.
· Effective communication and interpersonal skills for collaboration with maintenance and procurement teams.
· Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
Work Environment:
Permanent position, offered on a full-time basis, with working schedule from Monday to Friday, day shifts.
The position requires the ability to lift and move items up to 50 lbs, stand and walk for extended periods, and perform tasks that involve bending, reaching, and climbing ladders or step stools. Manual dexterity and good vision are essential for handling small parts and reading technical documentation. The role also involves working in warehouse or storage environments, which may have varying temperatures.
