You will join the International Division of Suez Consulting. The International Division has a turnover of over €40M, generated in Central and Eastern Europe, Africa, the Middle East and Asia. Most of the projects are financed by international donors (AFD, WB, ADB, BAD, EU, EIB, etc.), for which our teams provide engineering and consultancy services for essential services: water, waste, roads, railways, energy, the environment, urban management, etc. in developing and emerging countries.

 

Office Manager / Assistant Manager

What we’re looking for:

We are looking for Office Manager to provide secretarial support to the Country Manager and BD Manager for improving operations and for growing businesses. As an Office Manager you'll be a general problem solver, collaborating with different teams in our organization, under direct coordination from the Country Manager.

As an Office Manager, your role will be instrumental in ensuring the smooth day-to-day running of the office and supporting the business operations of the company. Overall, an effective Office Manager in a consultancy company should be highly organized, detail-oriented, and able to work collaboratively with others. They should have strong communication skills and be able to handle confidential information with tact and discretion

Part of a company’s success is due to its offices running smoothly, with administrative tasks being dealt with seamlessly, leaving more space for creativity and driven work.

Main responsibilities:

 

·  Provides administrative support for the efficient operation of the company;
·  Collects and verifies invoices from suppliers for administrative services contracts. Communicates with suppliers in case of discrepancies and deviations;
·  Collects and verifies invoices from suppliers for services contracts/free-lancers. Communicates with them in case of discrepancies and deviations;
·  Prepares the banking orders for payment of various suppliers, maintains updated records of payments;
·  Communicates with the accounting company and transmits all invoices and other accounting documents;
·  Assist with travel arrangements – Travel bookings (air, hotel, transfers & keep all files updated);
·  Monitors car fleet management, assists with insurances, various taxes and tolls and keep updated records;
·  Plan in-house or off-site activities, like parties, celebrations, team buildings;
·  Partner with HR to update and maintain office policies as necessary;
·  Address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements). Oversee office supplies and equipment, including ordering and maintaining inventory;
·  Manage office budgets and expenses, including tracking and reporting;
·  Maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Requirements:

·  Bachelor's degree in engineering or communication is relevant but not compulsory.
·  Familiarity with Gmail, Google Sheets, Google Docs and Google Slides;
·  Advanced MS Office Package knowledge;
·  Good knowledge of English (speaking, writing, reading);
·  Excellent time management skills and ability to multitask and prioritize work;
·  Ability to work independently and take initiative when needed.
·  Attention to detail and problem solving skills;
·  Excellent written and verbal communication skills;
·  Strong organizational and planning skills in a fast-paced environment;
·  A creative mind with an ability to suggest improvements.
