We are seeking talents for our  Interlomas´ General Offices  for the position of:

ADMINISTRATIVE EVENT COORDINATOR

Non Management Position

Start date: As soon as possible.

Work schedule: Full-time with flexible working hours.

Profile: Preferentially Degree in Tourism and Hotel Business Administration or similar.

Qualifications : Preferably previous experience of 1 to 2 years as an event coordinator in the pharmaceutical industry.

Accessibility:   3rd floor with elevator/ adapted for users of wheelchair/ motor support, we have bathrooms with automatic doors and accessible meeting rooms.

The objective of this role is to be responsible for all aspects of an event, from the choice of supplier, the venue, de development and the evaluation of the event.

Specifically, the expectations and responsibilities of the event coordinator are divided into two main aspects:

Administrative activities: 80%

·  Ensure that all interactions with opinion leaders are well recorded in the tool, referencing all the necessary documentation to support each event (contracts, performance vouchers, invoices, etc.).
·  Maintain great communication with the owner of the event to up load all the information the tool required.
·  In audits, provide all the support of the interactions.
·  Develop skills to be an internal auditor and detect areas of opportunity in the process in order to solve and propose improvements.

Practice - Events: 20%

·  Understand the needs of each event.
·  Plan events according to financial budget or owner needs.
·  Along with purchasing, develop the brief of the event for the choice of the most suitable supplier, choose the best combination of quality and price.
·  Manage all event operations (prepare the venue, invitations, etc.)
·  Perform the last checks on the day of the event (assembly of tables, work serious, production, etc.) to ensure that everything meets the standards.
·  Supervise what happens during the event and resolve any issues quickly.

Job Qualifications

·  Person well organized and able to perform several tasks at once.
·  Able to manage stress, maintain calm and sense of urgency.
·  Ability to troubleshoot problems.
·  Preferable with a degree in Hotel Management, Tourism or related.

·  Microsoft Office domain.
·  Intermediate level of English (reading, writing) - Basic (speaking and listening).
