Job Description

This Administrative Assistant position for Global Communications is located in Cincinnati, Ohio. In this role, you will provide administrative support for two directors, one associate director and occasional back-up support for two vice presidents responsible for global communications. You must be able to perform advanced, diversified and confidential administrative duties requiring comprehensive knowledge of the Company’s strategic direction, policies, practices and systems. The overall intent of this role is to increase the capacity and capability of our Communications Lead Team.

Your Responsibilities Will Include:

·  Providing top-level administrative support including, but not limited to, calendar meeting setup/coordination across time zones and regions, note taking and tracking “action items” for team members. Booking travel -- including securing visas, expense report preparation and corporate American Express monthly account reconciliation.
·  Initiative Calendar Assistant – Drive Efficiency in Program/Initiative Management by capturing discussions, agreements, next steps from our Initiative and Content Reviews. Enable simpler/faster follow-through on agreements as we develop content. Manage changes to our Weekly Editorial Calendar (Friday Forward to Monday Mark-Up) and Longer-Term Calendar (Quarterly/Yearly Portfolio Content Calendar).
·  Content Management Administration - With guidance, you will help execute/own the asset management for the newsroom and portfolio teams; identify how we can tap TEAMS/Asset Library to drive development, finalization, approval, and execution of content. Identify and execute the best system to account for all the content that we are managing day-to-day.

·  Back-Up Content Manager for PG Daily News (i.e., ability to post content on internal website) and P&G Internal Mass Mailing.
·  Support of the Executive Events team, with scheduling, securing needed cost centers, coordinating with third party vendors for support, scheduling, fulfillment and billing.
·  Understanding the needs of the communications discipline while prioritizing multiple requests with minimal guidance; proactively identifying ways to increase the efficiency of each manager; and effectively and efficiently interact with time-constrained managers, with minimal reliance on their direction/face-to-face interactions.

The Ideal Candidate

Displays leadership qualities and behaves professionally . You will need to learn the areas of responsibility and priorities of each manager, anticipate issues and proactively seeks solutions. You will have access to confidential Company data or materials and will be trusted with information that could impact the business and/or all our employees.

Owns excellent administrative, organizational and executional skills. Attention to detail is important as you will be managing challenging calendars, scheduling large and small internal and external partner meetings, setting up video conferences, and managing catering orders.

Possesses a mastery of technical skills for key technology. Office 365, PowerPoint, Word, Excel, Outlook, Teams, WebEx, and OneNote will need to be used for support purposes. Knowledge and experience with Coupa/purchase orders and SAP systems is preferred, but not required, for budget responsibilities. We are looking for someone who loves to learn new technologies and systems as needed.

Enjoys using strong communication, collaboration and interpersonal skills. You must be capable of representing our organization by effectively communicating with all levels of the organization -- from new hires up to the CEO’s office, across global regions, external partners, media outlets, PR agencies, government organizations, etc.

Maintains a mindset of adaptability/flexibility/agility. You will need to flow to where work is needed and be open to constantly changing high-level priorities, while simultaneously meeting daily and annual/cyclical deadlines.

Qualifications

Required

·  Bachelor’s degree
·  1-5 years of Leadership Level Administrative Support
·  Intermediate-to-advanced technical skills for Microsoft Office 365; PowerPoint, Word, Excel, Outlook, along with WebEx, OneNote, Teams and similar office applications
·  Ability to thrive in a fast paced dynamic environment

Preferred

·  Agency experience
·  Strongly preferred is management of executive's calendars
