Job description The Role:
Position Title: Plant Administrator
Reports To: Production Manager

The Plant Administrator provides support for the Plant Manager, Production Manager, Leadership Team, and all non-exempt associates. This position helps to maximize and extend the effectiveness of the Plant Management Team by identifying & leading key site activities around the areas of communication, new hire orientation, policies & practices, production trainings, general associate support, engagement, vendor relationship management, event coordination, and provides recommendations to staff to help drive improvements and efficiencies across the site. The job involves the coordination of change control activities, approved documentation, maintaining training records, problem-solving and assuring corrective actions are properly implemented and documented. Responsible for scheduling Local, Regional, and Global Meetings and organizing Site visits of Mars Family Members, Executives and State/Local Officials.
Key Responsibilities:
Communications:
Supports key communication initiatives at the Site: Ensures successful execution of global, regional and local communication activities including; All Associate Huddles, Health and Wellbeing, Mars Ambassador Program, Mars Leadership Capabilities, Safety Day, Policy Updates, Town Hall Meetings, Gallup Survey, Associate Concept and Principles in Action.
New Hire Orientation :
Partners with Central Orientation Team and Site Trainers to facilitate and schedule training in areas of GMP, Safety, operational specific training, Five Principles, Health and Wellbeing. Mars culture, Mars Ambassador Program, Principles in Action, Computer training.
Acts as first point of contact for new hires, resolving issues and escalating as needed. Interfaces with associate relations team to ensure clock numbers, and associate photos. Responsible for Managing 'E-Verify' process at the site to ensure I-9 Employment Requirements are met.
Creates and sustains the New Hire Orientation Week activities which will include coordination of lunch. Also ensures that managers adhere to the schedule for the week and that proper training is provide to those new associates as needed.
Site Engagement:
First point of contact for associates on general questions on systems and policies, resolving first tier issues and escalating as appropriate. Make recommendations based on associate feedback to Site Leadership Team to help improve associate relations and engagement. Supports all volunteer activities and city functions including pet walks and paws & claws type of events.
Coordination of site activities :
Coordinates All Associate's Day, MVP Events, Health and Wellbeing, recognition activities, holiday luncheons, associate trainings vision launch, team building activities, lunch and service awards. Coordinates lunches for special engagements and as needed working with local restaurants. Organizes visits to Site from associates across the globe including Mars family members, state and local officials. Manages dog food donation activities with Site and Community. Supports off site audits with the quality team and others as needed. Provide site badges as needed and is the first point of contact for the site.
Vendor Relations Management:
Work with vendors to ensure vendor compliance with site guidelines and procedures for non-plant services (eg, events, office supplies). Manage effective relationships by collaborating vendor efforts to maintain a high level of customer service at the site. Vendors include uniforms, people scout, vending machines, Fed Ex, contractors and any others that visit the site.
Systems/Processes:
Key user for Mars Systems including Microsoft Teams, Alchemy, Red Prairie, CORA, Nexus, Concur, SAP, MYTIME Kronos, Ariba, iTMS, DotMars, Audio and Video conferencing, and web posting. Identifies new processes and improvements in the office as well as the plant floor. This position provides support to Safety, Quality, Logistics, Reliability and Supply as needed to ensure Safety, Food Safety and Product Quality. Manage all site documentation required for QMP/ISO certification and all yearly and routine audits. Ensure documentation is consistently updated, readily accessible and effectively deployed onto the production floor. Administer “world class” training for all site associates and uploading and managing Alchemy. Assists in identifying specific training needs for associates through job task analysis designing, developing, implementing, and evaluating training programs. Support with Period and Year end activities and will be a back-up for the Inventory Analyst.
Administrative Support & Projects
Ensure Office has all supplies needed and ensure we have no waste generated.
Coordination of Leadership Team, Connection Point, and other site meetings including travel & team building activities. Facilitation as required.
Serve on the Crisis Management Team, coordinating team training and update key Crisis Management manuals.
Provides Training support to associates in areas of TMS Kronos, Aribia, Purchase Orders, basic computer skills, provide support in Excel, Microsoft Teams, Alchemy, PowerPoint and Word.
Management of invoices to ensure they are submitted correctly and paid on time.
Additional projects & coordination of activities as required.
Manages Site P-Card and reconciles invoices.
Creates PO's and ensure timely payment of vendors.

Minimum Qualifications:
2 year(s) of experience in Administrative support or HR support role
Ability to travel 5% of the time.
High school diploma or GED.

Preferred Qualifications:
4+ years of experience in Administrative support or HR support role.
Associate's degree in Business, Administration, or Human Resources field.
