GENERAL FUNCTION

The Optical Administrative Assistant (OAA) is responsible for assisting Opticians with the

execution of daily tasks to ensure a compliant, efficient optical operation. The position requires

excellent organizational, time management, critical thinking, and customer service skills as well

as the ability to work in a team environment.

 

MAJOR DUTIES AND RESPONSIBILITIES

·  Assist Opticians with providing excellent professional patient care.
·  Assist patients in selection and fit of eyewear.
·  Assist Opticians with receiving eyewear from labs, notifying patients of their eyewearbeing ready, and maintenance of the patient’s Compulink file to ensure compliance regarding dispensing.
·  Answer phones, assisting patients who call with their needs.
·  Sourcing insurance coverage for patients, verifying eligibility, interpreting benefits, and billing materials in a timely manner.
·  Assisting patients with Contact Lens ordering to include but not limited to pricing, explanation of their benefits, ordering materials, billing insurance, receiving orders, and dispensing orders.
·  Creating Patient Demographic in Compulink when needed, scanning necessary documents.
·  Collaborate with Opticians on prioritizing tasks for best patient experience.
·  Communicate with Practice Partners as needed for best patient experience.
·  Maintain a clean and organized dispensary at all times, free of clutter. Keep frame boards and work area neat and organized.
·  Complete requested tasks effectively and in a timely manner, meeting deadlines and expectations.
·  Flexibility to perform other duties as assigned by the District Manager.
·  Must be a service-oriented individual that enjoys building relationships with patients.
·  Basic computer skills required
·  Must adhere to Company Employee Handbook

 

BASIC QUALIFICATIONS

·  Effective interpersonal skills
·  Excellent problem solving abilities
·  Strong verbal and written communication skills
·  Insurance pricing and billing experience
·  Working knowledge of an optical POS system
·  Proficient in Excel, Word, PowerPoint, & the Google Suite
·  Ability to adjust priorities and manage time wisely in a fast-paced environment
·  Ability to communicate in a clear concise and understandable manner
·  Availability to work a flexible schedule and the hours necessary to open and/or close.

Employee pay is determined by multiple factors, including geography, experience, qualifications, skills and local minimum wage requirements.
