Job Description

Role Mission

The Visual Merchandising Coordinator will be responsible for following all worldwide visual directives, filtering them according to the individual market needs and then providing them to the visual team.  They will be required to clearly communicate with worldwide and local teams to execute these directives.  The Visual Merchandiser Coordinator will build a strong partnership with the worldwide visual team and work cross-functionally with the retail teams, supporting company changes and encouraging visual merchandising performance growth, ensuring that goals are properly met.  Coordinates daily visual activities across designated teams and provides timely and insightful feedback with team and worldwide.

Key Accountabilities

·  Place and follow-up on all visual tool orders with relevant worldwide departments;
·  Maintain all visual tool orders and subsequent invoices;
·  Provide distribution detail to warehouse/storage vendors with adequate follow-up;
·  Prepare and process all shipments of visual tools for FedEx/messenger/transport vendors;
·  Maintain visual tool inventory; keeping items organized and accounted for;
·  Purchase, receive and store all visual supplies ensuring that all orders requested are processed;
·  Assist the team with MIS and follow up with any issues which require attention;
·  Code and file material according to the established procedures;
·  Update and ensure the accuracy of the department databases;
·  Provide administrative and merchandising support to management as requested;
·  Make travel, meeting and other arrangements for department staff as requested;
·  Transcribe feedback from management and send email correspondence of such as requested;
·  Distribute and manage files/presentation decks, requiring weekly update to worldwide visual team;
·  Ensure distribution of ongoing directives from worldwide visual team to visual department;
·  Edit photos for submission to worldwide visual team;
·  Manage department calendar/rotation calendar.

Key Requirements

·  Minimum 2 years professional experience in an administrative coordinator role;
·  Excellent organizational skills;
·  Must have ability to lift, push and pull at least 50lbs;
·  Excellent verbal and written communication skills;
·  Ability to work within budget and cross sourcing/costing to maximize cost efficiency;
·  Strong attention to detail and ability to prioritize and meet tight deadlines;
·  Proficiency with PowerPoint and basic photography skills;
·  Must be flexible with hours of work;
·  Comfortable with ambiguity and working in a fast paced, ever-changing environment;
·  Must be proficient with Microsoft Word, Excel, and PowerPoint.
·  Must have intermediate Adobe Illustrator and Adobe Photoshop skillset.
