Job Description

Role Mission

The People Coordinator - West is a strong partner who works closely to support and coordinate all HR activities and administrative support for Gucci retail locations within our east coast markets and project support of key Human Resources initiatives, policies and procedures.

The People Coordinator is responsible for assisting and supporting the HR team in several aspects, as well as being a key contact to the workforce for general HR inquiries.

Key Accountabilities

HR Administration

·  Assist with ongoing departmental needs and support the implementation of HR initiatives and projects;
·  Support the HRIS administration in Workday for recruitment, new hires, terminations, and changes in status;
·  Assist with coordination of worldwide special projects and worldwide visitors as needed;
·  Maintain department calendar and facilitate meetings;
·  Monitor, respond and forward inquiries from the Human Resources dedicated email inbox and human resources hotline;
·  Maintain ad hoc recordkeeping, reporting and support as needed;
·  Liaise with shared services to ensure procedural compliance;
·  Coordinate travel and accommodations as required for new hires and team members (training, corporate housing, relocation services etc.);
·  Support the HRIS administration for recruitment, new hires, terms and changes in status;
·  Prepare employee verification letters;
·  Advisor on HR support systems: Kering Connect, Kering Campus, LOA
·  Liaison for LOA updates;
·  Assist with running time & attendance reports as needed.

Recruiting and Onboarding

·  Support candidate experience through managing in person and virtual interview coordination;
·  Support the recruitment process by creating offer letters and facilitating background checks;
·  Prepare employment letters as needed (i.e. Promotion, Title Change, Salary Change);
·  Oversee new hire preparations and set-up, inclusive of orientation, new hire paperwork collection, ID cards;
·  Maintain onboarding systems for accuracy in process flow and update documentation as necessary (i.e. HR Cloud, Workday);
·  Follow up with new hires to ensure benefit enrollment within first 30 days.

Employee Relations

·  Act as a key resource for employees and managers on a variety of HR issues;
·  Support manager and employee inquiries regarding timekeeping, payroll inquiries and adjustments;
·  Prepare employment verification letters.

Training & Development

·  Support training initiatives as it pertains to managing scheduling of participants, ensure set-up of training facilities, procurement, and distribution of materials, training feedback and tracking, follow up reporting, etc.;
·  Manage training enrollments and progress in conjunction with legislative requirements (Harassment training, Code of Ethics, etc.);
·  Train new hires and existing staff on all HR platforms, tools and systems;
·  Support all HR initiatives, tracking, and collection of acknowledgements.

General

·  Ad hoc projects as needed to support the HR team;
·  Assist with ongoing needs and the implementation of HR initiatives for the retail environment;
·  Act as a key resource for managers and employees on a variety of HR issues.

Key Requirements

·  Bachelor’s Degree preferred;
·  1-3 years of prior experience in Human Resources Functions;
·  Relevant experience gained within a fashion luxury retail environment, in an HR function preferred;
·  Demonstrable experience aligning HR goals and objectives with the retail business goals, combined with a strong understanding of the business;
·  Strong organization skills.
