Role Mission

The Executive Assistant has a fundamental role in supporting the Senior Vice President of Digital Business, Client Services & Client Engagement to achieve and perform in terms of efficiency but also in supporting a sincere and direct relationship with internal teams and outside partners. The Executive Assistant will need to work closely with all functional leaders, their assistants and their team members in the North America organization, but also with the Worldwide partners in Italy to rapidly develop trust as the basis for an efficient collaboration.

Key Accountabilities

·  Ensure accurate, efficient and smooth administrative support to the Senior Vice President of Digital Business, Client Services and Client Engagement;
·  Develop and maintain efficient reporting, keep accurate and up to date information, prepare documentation and support the overall operations of the Senior Vice President of Digital Business, Client Services and Client Engagement ’s office to ensure efficiency;
·  Support the Senior Vice President of Digital Business, Client Services and Client Engagement in ensuring quality internal & external communication, and follow ups;
·  Manage the Senior Vice President of Digital Business, Client Services and Client Engagement’s schedule and meetings;
·  Ad hoc and personal support.

Key Requirements

·  At least 4 years’ experience as an Executive Assistant, preferably in a multinational company with oversees headquarters, ideally within the luxury industry;
·  Previous Project Management experience of at least 3 years could qualify as well;
·  Excellent mastering of all administrative tools, digital works and essential software (Word, Excel, PowerPoint, browsers, etc.);
·  Solid communication and interpersonal skills; able to establish trust and respect with all levels of employees;
·  Accountability/credibility, able to always perform highly accountable work style with a strong sense of confidentiality linked to the function, attention to details and compliance;
·  Excellent written and oral communication skills, able to produce/write text that is in line with luxury company standard expectations;
·  Strong work ethic;
·  Able to multi-task, work at a fast pace with total accuracy and efficiency in support of the Vice President Retail;
·  Flexible, adaptable and reliable;
·  Extremely well organized and structured;
·  Able to anticipate needs and provide the highest quality of service;
·  Fluency in Italian is plus;
·  A team player that can communicate with all company Directors and their respective teams.
