How will you contribute?
We are looking for a highly organized and proactive Temporary Executive Assistant and Office Manager to support our Regional President of Alexander McQueen Americas on a 6-month assignment (leave coverage).
This role combines executive support with office management duties, requiring excellent time management, communication, and problem-solving skills. The ideal candidate will be a reliable, flexible, and professional individual who can anticipate the needs of the executives and create a positive, efficient workplace for our team.
Executive Support:
· Ensures accurate, efficient, and smooth high-level administrative support to President;
· Extensive diary management; appropriately prioritizing and scheduling internal & external meetings/ conference calls across time zones;
· Prepares and provides support during internal and external meetings, welcoming guests, booking, and arranging meetings;
· Organizes extensive domestic and international travel - flights, accommodation, visas, transportation, transfers, meetings, and calls;
· Manages monthly expenses, in line with the Company’s Expenses Policy;
· Reviews and approves expenses claims of direct reports;
· Support in the preparation of business presentations, meeting agendas & travel itineraries;
· Complete weekly retail reporting for stores;
· Ad hoc and personal support.
Office Management:
· Oversee daily office operations, including maintaining office supplies, equipment, and facilities;
· Ensure a clean, organized, and professional office environment; manage vendor relationships and supervise office maintenance;
· Coordinate monthly office events, team meetings, and functions, including logistics, catering, and material;
· Manage office budget, expenses, and purchasing, ensuring all financial operations align with the company's policies;
· Serve as the main point of contact for building management, security, and other office service providers.
Required Skills:
· 2-5 years in an Executive Assistant, Office Manager, or similar role, supporting senior leadership in a fast-paced environment;
· Excellent mastering of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling, travel management, and communication tools;
· Solid communication and interpersonal skills; able to establish trust and respect with all levels of employees;
· Ability to handle sensitive information with integrity and confidentiality;
· Excellent written and oral communication skills;
· Able to multi-task, work at a fast pace with total accuracy and efficiency in support of the President/CEO;
· Flexible, adaptable, and reliable;
· Extremely well organized and structured;
· Able to anticipate needs and provide the highest quality of service;
· Good at teamwork and able to communicate with all company leaders and their teams.
Salary Range: $25-30/hr.
