Role summary:

The Purchase Order Administrator is responsible for reviewing purchase order requisitions (POR), performing the necessary checks against budget and creating, uploading the PO in the financial systems. They are also responsible for creating payment groups to allow supplier payments

What this job involves:

·  Receive Purchase Order (PO) requests from the operations team and analyse and create PO based on PO Requisition (POR) form, attach POR form and relevant documentation in E1 (JDE)
·  Inform requestor PO is rejected or print PO if appoved
·  Ensure that queries are dealt promptly and efficiently and that any unresolved issues are escalated.
·  Support reconciliation of local books at month end close;
·  Monitor Purchase Orders pending approval on weekly basis, send emails requests for approval when needed;
·  Prepare reports: Goods Receipt (GRNV) Report, Open PO Report, UMLV (Unmatched, Logged Vouchers)
·  Support in resolving PO and GR mismatches with FMs and JBS Team
·  If required by client specific manage the GR process within Client Finance Team
·  Create payment groups in JDE per account schedule or instruction from account finance and load payment file onto Bank online system, track the status of unpaid invoices by JBS team
·  Prepare other reports relating to AP function as determined by client specific
·  Prepare and review a monthly report on Suppliers paid by invoice with due date for payment.
·  Support the Financial Analyst in the preparation of Financial reporting for JLL and for the Client
·  Support Financial reporting and balance sheet reconciliation process.
·  Ensure that Suppliers are paid within specified payment terms

·  1-year experience in a similar position (working with international teams and clients is preferable).
·  Basic accounting and finance process knowledge required.
·  Motivated, positive and flexible in approach to work.
·  Proactive in identifying issues and potential solutions.
·  Self – supporting; diligent.
·  Ability to work methodically and efficiently.
·  Process-driven approach to work.
·  Ability to deliver to tight deadlines.
·  Ability to learn quickly, and desire to develop.
·  Customer Service: Commitment to solve requests and problems.
·  Excellent interpersonal, presentation and communication skills.
·  Intermediate / Advanced PC skills, proficient in Office tools, such as Microsoft Outlook Word & Excel. Including Excel Pivot Tables.
·  Familiarity with JDE E1 financial is advantageous
