Job description



Provide superior customer service to meet on-site client’s expectations

Admin Reporting

·  Preparing of Monthly Reports from vendors for various service scopes, e.g. Utilities, Rental, Carpark, Waste Management etc.

Procurement & Vendor Management

·  Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
·  Assist in the procurement of vendors and services as required

Finance Management

·  Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
·  Ensure prompt and accurate management of purchase orders in JDE

Health & Safety Management

·  Assist in carrying out safety procedures when needed

Site Operations Management

·  Provide general overall facility management services including continuous monitoring of office/facility
·  Communicates proactively with client and end-users and work together with local stakeholders to understand the needs of the end-users and work independently to make minor decisions
·  Work together with senior executives and to resolve issues promptly and efficiently, as well as establish yourself as the “Go-to” person for all facility related matters
·  Maintain relationship with Landlord to ensure they are fulfilling their obligations to the client. Assist with budgetary requests, analysis and reporting
·  Assist management and staff with operational reporting, budgeting, financial systems, purchasing as necessary.
·  Coordinate & manage Cleaning, Waste Management, Pest Control, and Landscaping with building/property management company or third-party service providers/vendors.
·  Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption, as needed.
·  Assist with receiving and dispatching of work requests to facility staff, vendors or other services providers
·  Other ad-hoc duties assigned

·  Prior experience in facilities, property management, hospitality or related field preferred, training will be provided.
·  Minimum diploma in any related discipline
·  Knowledge of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous
·  Work within the firms behavioral standards of valuing the customer, being proactive, thinking innovatively, always aspiring to being an expert, working well in a team and being versatile in the nature of work.
·  Able to cooperate and work well with others to meet targets
·  Support the team effectively as and when needed
·  Proven ability to commit to flawless execution while complying with firm’s procedures and standards
·  Able to interact with the general client staff & vendors with ease
·  Ability to manage conflict and conflicting priorities
·  Demonstrates ability to work with vendors to deliver efficient services
·  Demonstrates proactive & professional approach to customer service
·  Has a customer-oriented attitude
·  Proven ability to manage multiple and complex operational matters on a daily basis
·  Demonstrates ability to prioritize and manage the completion of projects in an efficient and timely manner
