Job description



Responsible for assisting the General Manager with the management and tactical control of the day-to-day property operations of the Aon Center, a 2.7 million square foot Class A iconic office tower in Chicago.  This includes leasing, management, financial performance, employee motivation and client services.

Management

·  Assimilate knowledge rapidly and carry out instructions and programs as directed by the General Manager
·  Demonstrate the ability to work with various levels of personnel and interact with various levels of job skill and experience
·  Show leadership qualities and the ability to manage people in a variety of different situations that may arise at the property
·  Be able to step in at the General Manager’s direction to assume the General Manager’s role and to properly lead and execute the General Manager’s position

Financial Performance

·  Learn and assist with all financial aspects of property management
·  Assist in achieving budgeted net operating income for property.
·  Review and approve invoices as necessary through Yardi
·  Assist in managing property’s capital and operating expenses to budgeted levels
·  Assist in preparing and implementing all annual financial reports including budgets, strategic management plan, and other reports.  Provide support to leasing team in development of the strategic marketing plan and marketing budget.
·  Prepare monthly financial reports and other owner reports as requested by General Manager
·  Manage operating expenses

Operations

·  Understand the process and the importance of building operations as it relates to the responsibility of the General Manager
·  Learn all of the functional areas of operating a building (e.g. engineering, cleaning, security, elevators, etc.)
·  Motivate toward continual growth within the company, by learning the business through internal training (complete AGM training program) as well as external, self-directed, and BOMA classes.
·  Manage Parking Garage Operator
·  Manage Shuttle Bus Lease, Service and Operation
·  Manage Rooftop Management Agreement
·  Manage Vendor Performance including but not limited to Janitorial, Guest Services, Rise Building App, Cloud Level partners etc.
·  Work with the Chief Engineer to develop and implement an Energy Procurement Strategy
·  Work with Chief Engineer to develop and execute energy reduction practices and programs utilizing new and existing tools i.e. Mach Energy, Continuous Commissioning etc.

Personnel Management & Administration

·  Demonstrate the ability to work with various levels of personnel and interact with various levels of job skill and experience
·  Take part in interviewing, hiring and review process of all staff personnel
·  Core Charter Execution
·  Manage Property Associate (COI’s, Contracts, Administration, CEP)
·  Work Order Administration including Response Times, Outstanding work orders, etc.
·  Develop Quality Assurance Program for all 3rd Party Service Providers
·  Manage LEED EB Recertification Process with PA
·  Oversee Tenant Relations and Retention Plan

Leasing & Marketing

·  Develop and maintain an effective working relationship with the leasing team  and understand their roles and responsibilities.
·  Build knowledge of area market including all competitive properties and area demographics.
·  Coordinate with leasing team on maintaining SDI Lease book, administration of space encumbrances (ROFO’s/ROFR’s)

Project Management

Client Relationship Management

·  Perform project management tasks for Tenant Improvements and Building Improvements projects to include bidding, awarding, managing and capital cost tracking of small to medium sized projects.
·  Develop and maintain an effective working relationship with Client, Lenders and Office/Retail Tenants.
