The Career Opportunity: Catering Coordinator

JOB OVERVIEW: To perform all administrative duties for Catering Managers and the Catering department in a professional, courteous and efficient manner. To represent the hotel and to interact with all hotel employees in a professional, customer focused and pleasant manner at all times. To provide information to any guest or visitor inquiry by phone or in person. To assist in the booking process and revenue production for the Catering team.

DUTIES AND RESPONSIBILITIES:

·  Complete all administrative work in a timely and accurate manner
·  Competence to provide all Catering Managers with administration support
·  Handle all short term corporate opportunities of 20 or fewer guests that are received within a 45 day window from date of inquiry to event date
·  Work with other departments as needed to fully and successfully book, service and execute these events from initial inquiry, to contracting, obtaining full payment in accordance to Accounting guidelines, BEO review and on-site management as required
·  Input and access data in computer
·  Ensures service standards are at a high level
·  Ability to understand guest inquiries and provide responses
·  Promote positive relations with all individuals who approach/call to the Sales department
·  Competence in completing related duties and all other tasks assigned by management
·  Maintain confidentiality of all guests and hotel information
·  Capability to answer all phone calls using the proper phone etiquette of Hotel Inter-Continental Standards
·  Monitor, send and distribute phone messages, mail and faxes
·  Communicate pertinent guest information to designated departments/personnel (i.e., special requests, and amenity delivery)
·  Provide guestroom tours or check guest rooms when needed
·  Proficiency in maintaining filing system

What we need from you

QUALIFICATIONS:

·  Ability to remain stationary at assigned post for extended periods of time
·  Ability to focus on guests' needs, remaining calm and courteous
·  Ability to think clearly, quickly and make concise decisions
·  Ability to prioritize, organize and follow-up
·  Ability to work well under pressure
·  Ability to focus attention on details
·  Must speak/write English, using correct grammar.
·  Must be able to maintain a highly positive and friendly image that will reflect well on hotel's overall appearance.
·  Excellent organizational and communication skills.
·  Must be conscious culture differences
·  Pays attention to details
·  Previous administrative assistant position preferably in an hotel setting.
