Global Service Centers

Our Global Service Centers are an integral part of Global Operations. Employees based there manage day-to-day customer transactions and processes for the global businesses. This may include transactions for our retail bank such as processing loans, credit cards, insurance and mortgage applications, opening new accounts, and managing customer enquiries through contact centers and digital platforms.

Employees in the Global Service Centers also run and manage operations for commercial bank customers. This includes processing credit applications, facilitating payments and managing the import and export transactions that enable customers to protect and grow their businesses through international trade.

Role Purpose

AM – SMU will be part of the newly setup Group HR Supplier management function called ‘Supplier Management Utility'. Supplier Management Utility (SMU) focuses on the consistent identification and assessment of risks and the ongoing management of supplier contracts, performance and relationships.

The purpose of SMU is to make it simpler and better for the HR GSO leads to fulfil their accountabilities associated with the ongoing use and dependence on third party suppliers.

We are currently seeking an ambitious individual to join this team in the role of “Assistant Manager – Supplier Management Utility (SMU), Group HR, GSC's”. In this role, you will be responsible for the following:

· Maintain up to date Supplier Inventory

· Conduct Supplier risk reviews throughout the life cycle of the supplier (entry to exit)

· Maintain Supplier risks/issues database and dashboards. Proactive manage resolution of open issues

· Maintain and provide a consolidated view of the suppliers managed, including scope, deliverables, and performance obligations, with a clear understanding of the supplier profile, status and risks/issues.

· Proactive manage key risks and issues and work with GSO leads and broader risk management teams to mitigate identified risks

· Provide up to date spend visibility, by tracking, reviewing and processing supplier invoices in a timely manner

· Support discussions HR GSO and Procurement to ensure alignment of supplier utilisation and engagement

· Supplier engagement is effective and efficient.

· Accuracy and completeness of Supplier inventory

· Support TPEMs across globe in completing all risk related tasks on Archer

· Support TPROs across globe on various queries relating to engagements

Operational Effectiveness & Control [COMPLETE 3-4 AREAS]

· Drive transparency on Supplier utilization, performance and delivery against obligations and provide explanations on variations.

· Manage supplier invoices, raise requisitions, review and process supplier invoices. Maintain spend visibility trackers for the supplier portfolio

· Coordinate periodic Supplier reviews with the GSOs and Procurement to review performance against the contractual obligations.

· Periodically build and publish Supplier operational performance dashboards

· Maintain up to date IRQ, RRQ status within HSBC tools like Archer and Helios

· Raising procurement requests and managing requests through the required procurement process including submission, review, approvals and inputs to required forums.

· Establish MI/KPI's to report Supplier management efficiencies and PO compliance of HR purchasing

· Support the region HR teams to ensure that all audit issues are closed by the due date.

· Understand country priorities of the Oracle Fusion deployment plan working with local country teams to develop operational readiness

· Collaborate with HR Finance and Procurement to meet the function's needs and negotiate service levels

Compile and manage timely, quality MI regarding the HR portfolio to support required management decisions from numerous sources.

Supplier Management Utility (SMU) focuses on the consistent identification and assessment of supplier risks and the ongoing management of contracts, performance and relationships.

·
The purpose of this role is to make it simpler and better for the HR GSO leads to fulfil their accountabilities associated with the ongoing use and dependence on third party suppliers.

·
This role is expected to maintain a robust view, understanding and governance across all components of the HR third party supplier's portfolio focusing on management of suppliers and tracking delivery and performance.

·
Programme governance should be executed in accordance with Group Standards Policy and Procedures (including, but not limited to, the Business Transformation Framework – BTF

·
AM – SMU, will participate and manage supplier management activities throughout the supplier life cycle (entry to exit) for one or more key suppliers. Key role purpose will include:

·
Risk Assessment: Driving the fulfilment of all required Risk Management Activities with the Third Party suppliers on behalf of HSBC. Working with GSO and HR Risk leads for assessing the risks from HSBC buying / using goods or services from third party suppliers, using the IRQ and RRQ. Own and operate the Risk Management system Archer for the HR function and keep the risk status up to date.

Due Diligence: Assessing the basic suitability of suppliers to undertake work for HSBC and undertaking due diligence activities in order to understand the extent to which HSBC is able to mitigate the risks from using third party suppliers. Discussing potential remediation activities with GSO leads and tracking remediation activities there by ensuring they are completed in a timely manner by the Third Party supplier.

Relationship Management: Track relationship management activities carried out by GSO leads and Procurement for most important supplier contracts. Provide insight and reporting for most important third party suppliers.

·
Performance Management: Define and manage Performance dashboard on Supplier performance and feed in to SMU Governance forums.

·
Contract & Invoice Management: Provide GSOs with visibility of contract records, expiring contracts and contractual obligations. Raise Requisitions, Track, review and process supplier invoices.

Monitoring and Reporting: Collate and maintain up to date supplier inventory for HR functions globally. Maintain up to date supplier performance MI. Support the GSO leads during supplier performance reviews.

Management of Risk (Operational Risk / FIM requirements)

The jobholder will continually reassess the operational risks and likelihood of operational risk occurring through the execution of his/her duties in this role. The jobholder will address any areas of concern in conjunction with his/her line management, GSO Leads, HR Operational risk managers and/or the appropriate department. The jobholder is also expected to adhere to the Business Transformation Framework and programme / portfolio governance standards to minimize the likelihood of operational risk occurring.

Observation of Internal Controls (Compliance Policy / FIM requirements)

The jobholder will adopt the Group Compliance Policy by escalating any identified compliance risk in liaison with, Global Compliance Officer, Area Compliance Officer or Local Compliance Officer. The term ‘compliance' embraces all relevant financial services laws, rules and codes with which the business has to comply.

This will be achieved by adhering to all relevant processes/procedures and by liaising with Compliance department about new business initiatives at the earliest opportunity. Also and when applicable, by ensuring adequate resources are in place and training is provided, fostering a compliance culture and optimising relations with regulators.

Knowledge

Knowledge of HR departments and GSO areas, including HR and Procurement core platforms (e.g. Archer) and processes

Strong understanding of HSBC governance, processes and obligations regarding sourcing, engaging and managing 3rd parties

Knowledge of Third party - Supplier Management process from entry to exit

· 
Knowledge of HSBC Oracle Fusion Procurement functionalities is must

· 
Knowledge of UK invoicing and Purchase order activity is must

· 
Knowledge of HSBC Archer/Helios Procurement toolset

Strong understanding of Risk management principles and risk management lifecycle
