Job description
A Procurement Coordinator will ensure proper and effective communication channels are in place so that the Purchasing Department can accurately stock goods and other equipment for the hotel.
What will I be doing?
As a Purchase Executive, you will assist the Purchasing Department in its efforts to manage the purchase of all the goods and equipment that the hotel requires. Specifically, a Procurement Coordinator will perform the following tasks to the highest standards:
· Assist the Purchase Manager in purchasing the right goods and materials at the right price, at the required quality, and in the right volume to ensure a cost-effective approach to purchasing within the hotel
· Work with internal and external customers to ensure smooth lines of communication so that all requirements are met effectively
· Prepare orders in line with business requirements
· Work closely with the Heads of Department to ensure effective stock control
· To type correspondence, reports, and purchase order
· To file all correspondence, reports, purchase order and purchase request and maintain in-out document records
· To save all the information of the purchase request, purchase orders and payment status in the computer
· To answer and place phone calls and take message for supervisors and arrange appointment for supervisors and to remind them on theses, and receive and screen office callers and visitors
· To handle purchase requests from various department
· To place all orders in accordance with purchase order
· To obtain quotation for all general supplies, contractors and service companies, to do market survey and comparison
· In case of new items, identify possible supplies from the existing supplier list and obtain quotations
· Identify new suppliers if existing suppliers are unable to supply the requested item
· Define the frequency of obtaining quotations/ purchasing cycle for different item groups
· Identification of suppliers to be contacted for renewal of existing contracts
· Initiate the supplier selection process, if new suppliers are to be approached
· To negotiate with supplier for best quality and best price
· To strive for the prompt delivery to meet hotel request
· To perform other duties as assigned by the purchasing manager

· Proficiency with computers and computer programs, including Microsoft programs
