We are currently looking for a Groups, Meetings and Events (GM&E) and Reservation Manager to join our Commercial Team

The Hotel Maria Helsinki, to be re-branded as Waldorf Astoria later this year, is located in the historic Kruununhaka district in a landmark 1885 building, Waldorf Astoria Helsinki will open as Finland’s first Waldorf Astoria later this year. The hotel features 116 elegantly appointed guest rooms, including 32 suites, alongside a grand ballroom, five versatile meeting rooms, and multi purpose indoor and outdoor spaces. Guests will enjoy signature dining venues, a stylish bar, and a Nordic wellness spa with traditional Finnish sauna, delivering the brand’s legendary service and timeless luxury to the Nordics.
Something about the role:
The GM&E and Reservations Manager is responsible for leading both the Reservations and Groups, Meetings & Events functions. This is a hands on role within a small, agile team, balancing leadership responsibilities with direct involvement in daily operations. The position is key to delivering a seamless guest booking experience and outstanding service, while driving the hotel’s commercial performance and exceeding financial targets.
In this role, you will

Oversee the Reservations and GM&E departments, ensuring high standards of service in line with Waldorf Astoria True Service values.

Personally handle and support the processing of reservations and GM&E requests to guarantee efficiency, accuracy, and guest satisfaction.
·
Actively manage group blocks, meeting room bookings, rate loading, pricing decision, cut off dates, and profiles, ensuring data integrity and compliance with Hilton systems.

Control invoicing in the Events department, ensuring accuracy and timelines.
·
Optimize event planning through effective use of BEOs/function sheets, and coordinate with operations teams to ensure flawless event delivery.

Engage in direct communication with clients and guests, ensuring personalized and seamless booking experiences.
·
Drive upselling and conversion across both reservations and GM&E, maximizing revenue opportunities.
·
Collaborate closely with the Commercial Director, Sales, Revenue, and Operations to align strategy, forecast demand, and convert business opportunities.

Support, guide, and train team members, maintaining high morale and fostering professional development.
·
Conduct regular reporting, forecasting, and administrative tasks as required.
·
Participate actively in departmental briefings, internal communications, and cross functional collaboration to ensure smooth operations.
Successful candidates have
·
Relevant experience in Reservations and/or Groups, Meetings & Events management within luxury hospitality.
·
Strong technical proficiency, including advanced Excel skills and solid knowledge of hotel reservation and event systems (Hilton OnQ, Delphi, Opera or similar).
·
A proven ability to work hands on while leading a small team.
·
Excellent communication and organizational skills with a guest centric mindset.
·
Strong commercial acumen and ability to identify and convert business opportunities.
·
Full English business proficiency; Finnish is considered a plus.
