Job description

Eltek Systems are a control and automation systems integrator. We operate on an international scale with a t/o £9M in the UK and employ over 40 people. We are part of Vinci Energies a £12.5 billion organisation, we are looking to recruit  Administration Coordinator to join our expanding team.  

Package up to circa 26k (£Competitive Salary + Pension + Health care + Share Scheme + 25 Days Holiday)

To provide Administration duties including Accounting transactions processing and checks on Supplier Invoice posting, statement reconciliation and payments along with Timesheet coordination and administration.  Reception coordination and support to the Finance and Admin team on HR, Health and Safety and Environment processes, reporting and coordination.

Main Duties:

  • Support the Business Manager and Finance Business Partner with coordination and progression of HR processes for Starters, Leavers, Staff changes, reporting, systems updating, communications and coordination with staff and the Group HR team.
  • Run and coordinate the Reception and related tasks to ensure the organised and timely running of the Admin and Reception tasks
  • HR Policy documentation and ensure monitoring and compliance
  • Assist with Recruitment
  • Maintain and report on Environmental metrics
  • Provide and support Health and Safety reporting ensuring compliance with legal, group and internal reporting requirements
  • Processing of Supplier related transactions, Statement reconciliation, Supplier payments posting, payment allocation in the system and provide suggested payments run
  • Processing of Timesheets, Expenses and Absences, ensuring all timesheet are on the system and approved in a timely way
  • Support the month end, quarter end and year end close
  • Support and assist the Finance and Admin team with transactional accounting
  • Provide monthly payroll activities and coordination
  • Provide support to the Administration team, including the smooth running of the Reception
  • IR35 Compliance Checks, Recording and Monitoring, for existing Sub Contractors and any additional Sub Contractors
  • Working with the Finance and Admin team, to develop, document and frequently review compliance to processes and establishing a Team User Best Practice guide of procedures
  • Support the Finance compliance and Tax Auditors, for information requests

 

Desired profile

Experience, Knowledge and skills required:

  • An awareness and experience of using a large system / ERP computer system (desirable)
  • Experience in Payroll Processing (desirable)
  • Knowledge of IR35 requirements (desirable)
  • Team player attitude with a willingness to learn and develop tasks and processes (essential)
  • Supportive, Proactive and outstanding communication skills (essential)
