Role Purpose:
We’re looking for an Office Coordinator to provide comprehensive administrative support for the office building management and assist the Country top leaders with operational and organizational tasks, ensuring smooth day-to-day functioning of the headquarters.
What you’ll do:
Key responsibilities:
Office & Facilities Management:
-Oversee and coordinate office services: reception, cafeteria, cleaning, maintenance etc.
-Ensure the office complies with health, safety, and security requirements in collaboration with the Health & Safety referent.
-Manage departmental budgets and contracts, from planning to execution and accurate recording.
-Maintain relationships with building owners and handle purchase orders, good receipts registrations and invoice reconciliation and submissions.
Administrative Support
-Assist in developing, implementing and maintaining administrative policies (e.g., mobile telephony, travel) in collaboration with HR team and other stakeholders
-Manage when needed senior leaders with travel arrangements (flights, hotels, transfers), documents handling and meetings coordination and logistics.
-Supports internal and external Top management meetings (follows the process E2E)
-Communicate relevant announcements to staff regarding office events, maintenance, or service updates
Supplier & Vendor Management
-Maintain relationships with key suppliers (Vodafone, travel agencies, office supply vendors, maintenance providers, etc.) ensuring contract compliance
-Centralize administrative requests and coordinate with service providers (technical interventions, cleaning, coffee supply, stationery, fruits, etc.)
-Issue purchase orders for assigned vendors/clients and manage supplier/client creation in company systems
-Provide guidance on travel bookings and other service-related requests
Health & Safety Support
- Assist with annual medical checks, SSM/SU compliance, and other planned safety projects
About you
Key requirements:
· University degree
Minimum 2 years in administrative, office management, or coordination roles
· Advanced English, both written and spoken
· Proficiency in MS Office (Word, Excel, PowerPoint), internet navigation
· Excellent communication and interpersonal skills
· Initiative, accuracy, and perseverance
· Strong organizational and planning skills
· Ability to react quickly to urgent situations and adapt to change
· Negotiation skills and time management under pressure About Danone
