CGI is currently seeking an Administrative Assistant to provide high level administrative support for one or more of our Vice-Presidents. The ideal candidate for this position will have a high level of energy, decorum and discretion that is second to none. You possess the "6th sense" that allows you to be 2 steps ahead at all times. You will have experience in a fast-paced professional consulting environment supporting senior leadership and have a good understanding of both technical and business vocabulary. You will be able to effectively navigate and manage complex and time-sensitive/urgent situations and have a tolerance for ambiguity. You are adept at working effectively with a wide variety of people inside and outside the organization. Finally, as the ideal candidate, you will have a positive and agile approach to keeping the environment organized and the team you support productive.
Your future duties and responsibilities:
• Organize and proactively arrange and prioritize VP schedule to align priorities and adjust when required
• Manage calendar, scheduling, set up meetings, accept/decline on VP’s behalf: regularly scan calendar for conflicts and resolve, change/amend schedules when necessary
• Partner with the senior management team on projects, tasks and initiatives as required
• Manage routine correspondence
• Collaborate with other team members to coordinate important meetings and events
• Track and assist VP with action items through to completion
• Reconcile expenses against credit card statements
• Manage time reporting
• Review direct reports expenses for discrepancies and obtains SVP approval
• Book airlines, hotels, etc. for business travel
• Minute taking and tracking of action items for key operations and senior management meetings
• Act as point of contact between VP and CGI professionals/clients
• Set up and manage electronic filing system for audit purposes
• Handle external requests with tremendous tact and diplomacy
• Assist with the planning, co-ordination, organization of all requirements of large scale events, conferences and executive team activities
• Participate in special project assignments on an as-required basis
Required qualifications to be successful in this role:
• Minimum 5 years senior executive-level administrative support experience in a large professional organization
• Resourceful and intuitive self-starter, able to thrive in a fast-paced, dynamic setting and enjoy multi-tasking in a technical and administrative environment.
• Extremely pro-active, with an energetic and professional demeanor and high sense of urgency
• Proven achiever and polished professional
• Resourceful, with the ability to prioritize, multi-task and meet deadlines with minimal supervision
• High level of professionalism, customer service, energy, speed and accuracy
• Independent judgment, absolute discretion and diplomacy
• Confidential, dedicated and punctual
