We have an exciting opportunity to join our Personal Injury team as a Management Assistant. This is a varied role providing direct administrative support to the Head of Northern Territory Motor Accident Compensation as well as general office management and team coordination duties. You will bring a passion for best practice and your outstanding people skills to deliver & enable optimal operations across the function.

 

About the role 

  • Supporting the Head of NT MAC and leadership team with day-to-day administration, managing and coordinating executive calendars, scheduling meetings, and appointments.
  • Process email correspondence and monitor enquiries, prioritising and following up to ensure requests are actioned, escalated, or completed accordingly
  • Coordinate meeting papers and record minutes for senior government stakeholder meetings, ensuring accuracy and timely distribution.
  • Serve as a liaison between executives and internal/external stakeholders, maintaining professional communication.
  • Assist with the organisation of team events and business engagements, functions, and travel arrangements according to Allianz Preferred Supplier Agreements.
  • Collate and reconcile evidence to support expense claims in accordance with Allianz processes.
  • Produce correspondence, communications, presentations, confidential documents, spreadsheets and reports as required.
  • Administer and maintain databases, document control and filing systems in accordance with Allianz policies and procedures.
  • Handle confidential information with discretion and professionalism.
  • Assist in the preparation and submission of reports, presentations and other administrative tasks.
  • Support special projects and initiatives as needed, contributing to the overall efficiency of the team.

 

About you 

  • Strong experience within a busy executive level administration role
  • Proven experience in detailed minute taking
  • Knowledge within Personal Injury or insurance sector is advantageous
  • Strong knowledge of all MS Office applications
  • A passion for leveraging emerging technologies to stay ahead in a rapidly evolving digital landscape
  • Ability to quickly build relationships across multiple divisions
  • Professional, organised and able to work in a fast-paced environment
  • Excellent attention to detail
  • Motivated, energetic with a can-do attitude
  • Strong communication skills
