Job summary
We’re looking for a reliable and well‑organized claims admin to support the daily operations of the health claims department. This role focuses on receiving and managing incoming emails, claims, and communications, ensuring proper registration and routing, maintaining clear documentation, and providing administrative support across the team. You’ll help secure smooth information flow, accurate correspondence handling, and efficient claims processing.
Role
Inbox & communication handling
receive, review, and categorize incoming emails, documents, and provider or member communications
ensure all correspondence is recorded in the appropriate systems
forward claims, queries, and documents to the appropriate team members
monitor shared inboxes and ensure timely handling of all items
Claims intake & document management
log new claims and incoming documents into the claims system
check that required documents are included and request missing information when needed
ensure proper digital filing and organization of claim‑related documents
support accurate and complete case setup for the claims adjusters
Correspondence & support
prepare and send basic outgoing communications and acknowledgements
support claims handlers by collecting required forms, invoices, or clarifications
assist with preparing letters, summaries, or standardized templates
maintain clear and professional communication with members and providers when needed
Coordination & internal support
collaborate with claims adjusters, medical team, provider relations, and finance
route misdirected documents and ensure nothing is left pending
support the team with administrative tasks that improve workflow efficiency
help ensure smooth information flow between departments
Quality, accuracy & compliance
ensure data accuracy when logging claims and updating systems
follow internal procedures, confidentiality rules, and documentation standards
support audit readiness by keeping files complete and properly structured
identify recurring issues in document flow and suggest improvements
Requirements
Qualifications & experience
previous experience in administrative support, customer service, or claims operations
good understanding of office workflows and document handling
experience in health insurance or a TPA environment is an advantage
familiarity with the greek healthcare system is helpful but not required
Skills & competencies
excellent organization and attention to detail
ability to manage multiple inboxes and tasks simultaneously
clear written and verbal communication skills
customer‑focused and cooperative mindset
computer literacy and comfort with MS office and document management systems
- AI-related skills/terms: (Generative) Artificial Intelligence or GenAI or AI, Data Analysis, (Microsoft) Copilot, ChatGPT
reliability, discretion, and professionalism when handling sensitive information
Preferred (optional)
experience in health claims administration
familiarity with CRM or claims management platforms
basic knowledge of health insurance documentation requirements
