PA/Administrator

Our client, a leading University, are currently recruiting for a PA/Administrator to work as part of the Academic Services Centre team and provide administrative and secretarial services to academic and research colleagues across the Faculty. This will involve extensive work with Microsoft Office suite (MS Word, Excel, PowerPoint), SharePoint and a range of databases.

·  Duration: 1-2 Months

·  Hours: 35 hours per week, 9am-5pm - Must be abe to commit to these hours

Key Responsibilities

·  Provide personal assistant services to designated senior members of the Faculty's staff to support them in fulfilling organisational, academic and professional roles. This will include diary management, correspondence on their behalf and being first point of contact for problem solving.

·  Provide administrative support to committees which will involve taking minutes, internal and external liaison as well as booking rooms and catering.

·  Provide personal assistant support, specifically to include diary management and email management, for 2-3 specifically named members of staff.

·  Work collaboratively as part of the Academic Services Centre team and provide academic and research colleagues with general administrative and secretarial support. This will involve problem shooting when necessary.

·  Provide cover for colleagues within Academic Services Centre when necessary.

·  Deal with routine enquiries received via post, phone, face to face contact and email.

·  Assist designated senior members of staff with budget management such as processing expense claim forms, procurement and invoice processing. (Full training in the use of internal procurement and accounting systems will be provided)

·  Provide administration to committees and other decision-making groups. This will involve taking minutes, internal and external liaison, booking rooms and catering.

·  Provide administrative support to committees, boards and other meetings.

·  Gain proficient knowledge in the use of SharePoint and support academic and research staff with its use. This will involve application of best filing processes within the Faculty's SharePoint site.

·  Organise small scale projects and events (such as Inaugural Lectures, Away Days, etc.) which will require a high level of organisational skills.

·  Undertake any other relevant tasks.

Requirements

Essential

·  Excellent general administrative skills

·  Excellent working knowledge of Microsoft Office packages and good IT skills

·  Excellent written and oral communication skills, including the ability to draft documents and correspondence

·  Excellent team working skills with the ability to manage a range of competing priorities simultaneously

·  Complex diary management in Microsoft Outlook

·  Internal and external liaison with the ability to develop sustainable relationships

·  Ability to use initiative and make informed decisions

·  Ability to work with a broad range of stakeholders in a professional, respectful and assured manner

·  Proactive with the ability to work independently as well as delivering within a team

·  Curious, customer service oriented, with a commitment to personal accountability and continuous improvement

Desirable

·  Degree level qualification or relevant experience

·  Knowledge of financial and accounting processes and ability to manipulate data
when required

·  Supporting committees and meetings by organising, minute taking, digital filing of meeting papers

·  Experience of working on databases to maintain records effectively

·  Simple data analysis and interpretation

·  Experience in the provision of personal assistance
