Adecco are currently recruiting for a Business Support Officer to work within a Local Authority based in Ealing.
The Business Support Officer duties are as follows;
Duties:
· Project support and administration
· Contribute to ensuring project deadlines are achieved by working with members of the project team
· Keeping a track of own work activities, set own deadlines and bring to supervision.
· Prioritising and re-prioritising tasks with input from project team.
· Highlighting concerns, and risks in project meetings.
· Provide updates in project team meetings about role and progress of activities.
· Administrative support for project activities
· Meeting management:
· Recording and producing minutes for meetings and activities
· Keeping up to date minutes of meetings and sending out papers one week after meetings.
· Sending out papers one week in advance of meetings.
· Scheduling training sessions, meetings, workshops and events for the project
· All sessions (training, meetings etc.) are booked in advance.
· Avoiding where possible meeting clashes.
· Information sent out in advance.
· Tracking attendance at training and meetings
· Management of training events and workshops
· Monitoring and managing booking of workshops and events and tracking attendance.
· Identification of a booking system and putting this in place.
· Tracking apologies for meetings, and courses/workshops
· Keeping up to date records of attendees on training and sending this to Local Authorities
· Finding rooms which are free/reduced cost.
· Communication
· Devising invitations (calendar invites), promotional material.
· Ensuring that communication material content is correct before sending out to stakeholders.
· Attention to detail and clear communication
· Design of communication materials
· Website - write content, update and monitoring
· Evaluation activities
· Contribute to evaluation and monitoring of project activities
· Work with project team to set up evaluation systems and data collection
· Monitor help to collect increase data returns.
· Customer Engagement
· To build effective relationships with customer groups and enable their views to be heard and their needs met.
· To deal with enquires from Council staff, trainers, partner agencies and other agencies, giving advice and guidance on a range of available training opportunities.
· To provide a high level of customer care, at all times promoting the Council and Departmental policies, e.g. Equality & Diversity, Health & Safety etc.
· To ensure that complaints and feedback are promptly identified, and when necessary passed to the appropriate person.
· Information and Financial Management
· To use Council's budget management system to ensure Purchase Orders are raised and Goods Receipted in a timely fashion.
· Assist with monitoring and analysis of training statistics
· Maintain accurate financial records for budgetary purposes, producing reports as requested.
· Work with training officers to identify potential financial difficulties and alert budget holder.
· Generic Accountabilities
· Agree personal performance objectives and targets with supervisor and develop and participate in regular performance appraisal.
· Undertake other duties that may be reasonably required by supervisor.

· Organises office arrangements for new starters and supervises temporary staff.

· Ensures personal performance is linked to organisational objectives.
· Takes ownership for resolving customer queries, and knows when to refer more complex queries to the appropriate Consultant.
Project and Work Management
· Assists in the identification of appropriate performance data by gathering and reporting on customer feedback.
· Manages the organisation of training events to agreed deadlines and flags up potential conflicts (to be tested).
Mastering technology and information
· Uses IT packages e.g. Excel, Word and Outlook at intermediate level (to be tested).
ESSENTIAL QUALIFICATION(S), EXPERIENCE
1) GSCE Maths and English at Grade C (or equivalent)
2) Able to use IT packages, Excel, Word and Outlook at intermediate level
DESIRABLE EXPERIENCE
1) Minute taking and management of meetings
2) Project support
3) Admin support for a training team
