Business Support Administrator

Location: Witney

Duration: 12 months

Working Hours: Monday - Friday / 9am - 5.30pm

The role is based with our prestigious medical client based in Witney.

Overview:

·  Supporting administration activities across the company to meet the needs of the business and customers.

·  Ensure that all communications, interpersonal interactions and business behaviours are consistent with a Centre of Excellence and the company Code of Conduct.

·  Support an administrative environment that ensures team effectiveness across the site.

Responsibilities:

·  Organising travel for departmental members, including visas, flights, accommodation and ground transport.

·  Diary management for senior managers and Director of the department/working area.

·  Responsibility for administrative tasks and support to the Division and wider site when required, holiday/absence etc.

·  Organising meeting schedules and logistics for visitors and visiting teams to the department.

·  Organising department events for goals alignment and reviews, including rooms, meals, supplies and poster preparation.

·  Assist with the compilation of organisational charts.

·  Responsibility for the smooth running of department including supervision of shared resources such as copiers and ordering general stationery supplies and sundries. Management of office facilities and equipment for new starters within the group/working area.

·  Ensure all procurement responsibilities are carried out effectively and within budget.

·  Process expense reports.

·  Through role model behaviour demonstrate full cross functional team support for the department.

·  Compile contract changes for the groups and submit to managers for approval and track progress.

·  Responsible for maintaining the effectiveness of the Quality System at the site in accordance with divisional and corporate requirements and applicable regulations.

·  Take minutes when required for management meetings.

·  Maintain accurate filing and retrieval system for confidential documents.

·  Prepare overtime sheets within deadline and submit to payroll, manage pay queries and departmental queries as required.

·  Compliance with EHS regulations and company standards by adhering to EHS systems, programmes and procedures, being accountable for the Health & Safety of themselves and others by highlighting where improvements to EHS performance can be made.

·  Recommend business and cost improvements in line with business excellence activities where you consider it appropriate.

·  Responsible for compliance with applicable Corporate and Divisional Policies and performing other duties as assigned by management.

Requirements:

·  Ability to work in fast-paced and challenging environment

·  Experience using Microsoft Office

·  Previous Admin experience desirable but not essential
