The Job

Dealing with customer enquiries via email and telephone.

Greeting and socialising with customers face to face.

Ordering office supplies when stock is low or new supplies are required.

Completing paperwork where necessary to book parts/labour to any of the hire equipment.

Filling out material transfer requests to balance stock or for machine refurbs.

Arranging the scrap, oil and general waste is collected when necessary.

Keeping the correct stock levels for workshop consumables including ordering paint, oil and gas.

Organising van MOT and forklift services when they're needed as well as sorting the payment.

Creating purchase orders and issuing correctly.

Taking care of employee holidays and absence forms- scanning to head office.

Arranging transport for both small and large plant equipment to suit needs for both collection and delivery aspects.

Calling agencies to fulfil current job vacancies, reviewing candidates CV's and involvement with organising interviews dates and times.

Dealing with warranty claims from customers - requesting pictures and forwarding to the appropriate parties with all paperwork filed and sent correctly.

Creating weekly time sheets for employees, maintaining the clock machine is functional, scanning, copying and sending the timesheets to head office.

Collecting workshop timesheets making sure they comply with clock cards, putting into a spreadsheet and scanning, copying and sending the timesheets to head office.

Using multiple web applications to book transport making sure to compare prices to obtain the best one, printing and attaching the correct labels to each parcel/pallet.

Recording every sale on a monthly spreadsheet, filing the sales and sending the updates to head office. Creating charts and graphs where necessary.

General

General day to day running of the depot. In managers absence which would include;

Answering all phone calls: Sales, advice, customer breakdowns, invoice queries etc.

Have flexibility with regards to working hours be it starting earlier, finishing later or coming in on weekends.

Capable of working alone for long periods and have the initiative to search for results elsewhere when the appropriate colleagues aren't available.

The capability to do weekend or evening jobs at short notice.
