We are recruiting for a temporary administrator to work with a University based in Central London. Currently the contract is until the 1st November 2019 and is paying £14.06 per hour.
Please see the job details below:
· Support the Centre with general administration, event planning and maintenance of essential databases. Key tasks will include:
· Day-to-day checking of the Centre's email inbox and directing queries as needed
· Acting as a point of contact for general enquiries and visitors to the Centre and to route queries to the appropriate staff
· Arranging project meetings and events (seminars, conferences)
· Arranging travel for meetings and events for Centre staff and visitors, as well as linked risk management and insurance requirements
· Communicating with School services to ensure that the day-to-day needs of Centre staff are met; this includes: booking rooms, requesting catering for meetings, maintaining stationary supplies, ensuring supplies in the Centre's kitchen is regularly stocked, and making travel arrangements
· Arranging staff meetings including arranging dates, booking rooms, catering, putting together the agenda materials and distributing to staff prior to meetings
· Maintaining Centre records on staff, publications, outputs
· Collecting and distributing post o sending out letters and emails as requested, and dealing with all correspondence in a confidential and sensitive manner
· Maintaining bookings for the Centre's meeting room
· Maintaining bookings for the Centre's video and teleconference facilities
· Undertaking photocopying, scanning and filing tasks
· Web-editing
· Supporting meetings of the Centre's involvement groups (people who use social care services, patients, carers, and social care professionals)
· Other tasks as requested by the Centre Manager
· Individuals will need:
· The ability to work well with others
· Experience of working in an administrative role
· Experience of working in a higher education institution
· Experience of organising meetings
· Evidence of excellent written and verbal communication skills and demonstrable ability to write clearly and concisely
· High level of accuracy and excellent attention to detail in all aspects of work, including the ability to maintain accurate work records
· Some experience of Data Protection legislation (Data Protection Act 2018; General Data Protection Regulations 2016) would be useful
· Ability to handle confidential and sensitive information
· Ability to liaise with people of different backgrounds and needs in a professional manager
