Key tasks
The MICE Executive (Small Events) is responsible for fielding and responding to event enquires (200 PAX or less), converting them into bookings and then planning the event in conjunction with all relevant Hotel Departments. The MICE Executive is responsible for ensuring all duties are carried out in accordance with Novotel standards and current legislation.
Common Duties:
• To field enquiries, check availability, quote accordingly, convert and then plan event in the hotel
• To enter all enquiries, bookings, denials and cancellations into the appropriate hotel diary system.
• To respond to all enquires via the appropriate channel and within the given deadline.
• To liaise with all operational department (Eg Accounts, MICE Operations, Sales & Marketing, Food & Beverage) to ensure all requirements are met and revenue is maximised.
• To work with the Revenue Department, Sales & Marketing Department & Accounts Department to ensure that suitable contracts and payment plans are agreed.
• Responsible for ensuring clients are invoiced correctly.
• Attending any site visits, planning meetings, tastings or other occasions as required by the client.
• Prepare and presenting the weekly Function Sheet on schedule.
• Providing Welcome Desk assistance as and when required.
• General administrative duties are required.
• To assist with co-ordinating larger events as required.
• To carry out any other reasonable duties that may be required.
