Key tasks
Purpose of role:
The successful candidate will provide support to the Vice President (VP) Development by dealing with administrative tasks, helping with time management and act as the first point of contact with people from both inside and outside our organisation. The Personal Assistant will also research, monitor and interact on internal and external social media for business reasons.
Special Notice: During the course of duty you will have access to certain information which demands the utmost confidentiality. Discretion must be exercised at all times.
Main responsibilities:
- Provide administrative support, diary management and travel management to VP and team
- Organise meetings, conference calls and other department event requirements. Prepare and distribute meeting minutes and follow up on action points.
- Arrange travel and accommodation for senior stakeholders. Occasional travel in the UK & Ireland may be required.
- Screen and deal with telephone calls, inquiries as appropriate
- Deal with incoming emails, mail and other correspondence on behalf of senior stakeholders including the preparation of memos
- Produce documents, reports and presentations using advanced Word, PowerPoint and Excel.
- Assist in controlling department costs through invoice and expense management and reporting
- Manage induction programmes and integration (IT equipment, car requirements etc) for department new starters.
- In liaison with HR, produce contracts and offer documentation.

Languages essential English (Fluent)

The successful candidate will demonstrate:
- Excellent written and verbal English language skills
- Ideally a background as a highly effective Personal Assistant
- Experience of invoice payment processes
- Excellent ability to prepare power point presentations (essential)
- Medium to high knowledge of Excel
- Experience in organising meeting and agendas.
