The Business


The RE&WS Function is responsible for providing the environment, processes, equipment and resources that efficiently and effectively help our Willis Towers Watson colleagues meet client demands and the overall objectives of the organization. The Facilities Services Manager role is responsible for providing an integrated set of support programs and services to colleagues, with a focus on enabling productivity, managing costs, mitigating risk, promoting our values, and supporting our brand. Programs and services include but are not limited to work environment, maintenance, reception, on-site meeting support and catering, print, post, office equipment, safety, security, business continuity, and records management. The role will hold responsibility for one or more WTW sites.

The Role

Reception and meeting support at WTW is shaped by a desire to provide a “best in class” experience for visitors and callers to our offices – in each and every location across the firm. Collectively, we aim to achieve the following:

·  Provide a seamlessly manned Reception and an environment that is well equipped, well maintained and supportive of colleagues and visitors wellbeing and safety
·  Greet and direct guests in accordance with WTW service standards, guaranteeing positive impression and experience with every WTW contact
·  Develop solid understanding of firm/office personnel and reporting structure as well as business unit affiliation (aids directing of blind calls)
·  Build strong relationships with colleagues across levels and provide operational expertise and guidance that ensures beneficial and cost effective use of resources
·  Assist co-workers in resolving problems and undertake other responsibilities, as required, as supporting member of Facilities Services
·  Manage cleaners and messenger/s, ensuring they meet required operations objectives
·  Proactively manage company supplies and review business partner product/price offerings on a regular basis to ensure optimised quality/price efficiencies
·  Adhere to internal procurement and payment process and maintain up-to-date records of all service agreements
·  Advocate and role model WTW values
·  Develop Trusted Advisor role

The Requirements

·  Reliable and punctual with high level of energy and initiative.
·  Professional demeanour and appearance with exceptional customer service skills.
·  At least two years’ experience in professional office environment and prior experience in procurement and reception services.
·  Ability to communicate openly and effectively both verbally and in writing in business standard English
·  Strong interpersonal skills including demonstrating a friendly professional attitude when greeting guests both on the phone and in person
·  Customer service orientation and the ability to work as a team member with a wide range of personalities in a collaborative manner
·  Excellent time and project management skills including the ability to be an independent worker who can multi-task and negotiate/juggle priorities with ease
·  Good Microsoft Office skills i.e. Word, Excel and PowerPoint.
