JOB DESCRIPTION
As a Facilities Services Specialist in the Boston Service Center, you will serve as a key resource for internal and external clients in a Willis Towers Watson office, and will perform a number of tasks as delineated below.
The Role
As a Facilities Services Specialist in the Boston Service Center, you will serve as a key resource for internal and external clients in a Willis Towers Watson office, and will perform a combination of the following tasks: supervise print and production staff, pantry and print area stocking and maintenance; ensuring conference/meeting rooms are set up, audio-visual equipment functioning; maintaining stock of office and kitchen supplies and placing orders as necessary; assisting with catering set ups and breakdowns for internal and external meetings as needed; responding to facilities-related issues (e.g. lighting, HVAC, furniture repairs, etc.); miscellaneous other duties. You are expected to work as a team player in achieving practice objectives and meeting defined service level targets.
Performance Objectives:
Staff Supervision
• Supervise Service Center associates; assign tasks, manage workloads, coach and manage performance
• Ensure all team members are fully cross-trained trained
Print and Production (Primary Support):
• Perform all duties related to print and production
• Manage Service Center organization and workflow
• Inventory, procure, and stock all print production materials and supplies
• Troubleshoot print production equipment; call and oversee service as needed to mitigate downtime
General Office Provisioning (Primary Support)
• Inventory, procure, and stockoffice and kitchen supplies on all floors to meet demand
Mail and Shipping (Primary Support)
• Manage all incoming and outgoing USPS and express packages and mail to meet service deadlines
• Maintain records of postage, courier, express shipping volumes; package release signatures, and other relevant data.
Conference/Meeting Room Setup and Catering (Secondary Support):
• Assist with meeting set-ups including rearranging conference room furniture
Facilities Support (Back-up Support):
• Backup support for Boston Facilities Services mailbox
• Help to maintain the overall cleanliness and order/organization of the office space.
• In conjunction with the Facilities Services Manager, work with building management, office management, Corporate Real Estate and outside vendors to arrange for repairs and maintenance relative to office furnishings, fixtures, equipment, space, and services.
• Support maintenance of local asset inventory listings.
• Support Corporate Real Estate activities as necessary
Miscellaneous Support:
• Perform other Facilities Services duties as directed by the Facilities Manager or Facilities Services Cluster Lead.
The Requirements
• 3+ years of experience in a professional office environment providing general office support
• 2+ years printing and binding experience and quality control
• 1+ years supervisory/people management experience
• Exceptional customer service skills
• Strong interpersonal skills, and the ability to deal professionally with clients, vendors and associates on the phone and in person
• Professional demeanor and appearance – business attire required at all times
• Ability to adapt to different people, situations and changing priorities with grace and flexibility as well as demonstrating an appropriate sense of urgency
• Reliable and punctual for 8 AM start
• Strong organizational skills, with demonstrated ability to multi-task and prioritize effectively
• A strong focus on detail and accuracy of work
• Strong time management skills
• Ability to communicate openly and effectively both verbally and in writing in business standard English
• Basic knowledge of Microsoft Office suite
• Knowledge of AV equipment and limited technology in a meeting environment
• Heaving lifting may be required – up to 50 lbs
• May require additional time commitment outside of normal business hours
• High School diploma, certificate or official equivalent
