The Customer Service Representative works in our Corporate Risk & Broking (CRB) team based in the Vancouver office and as such as the unique opportunity for career development and advancement working on all of the office’s P&C clients and accounts. The Customer Service Representative works on Vancouver office Commercial Lines accounts providing support to various members of the Corporate Risk & Broking team and collaborating effectively with various finance centers and colleagues in Canada, Nashville and Mumbai. Essential duties and responsibilities include but are not limited to:
· Managing incoming job assignments through Outlook, requesting more detailed instruction if required
· Meet requested deadlines on assignments unless a revised deadline is agreed with Account Manager
· Issue Certificates of Insurance in Choices system and maintain master list for renewal
· Arranging Premium Finance Contracts and send to client/finance company
· Manage billing requests with the National Accounting Center (NAC)
· Create and manage abeyances via activities and tasks
· Create Binder, Policy and Endorsement enclosure emails following the WTW Excellence Model Outline
· Preparing presentations (binders, tabs, cover pages)
· Issuing Automobile “Pink Cards” electronically
· Digitizing documents (particularly policies)
· Create, maintain and attach electronic files in EPIC as well as in the network folder using standard folder template
· Request new clients through Mission Control, add policies to client once set up in Epic
· Maintain accurate client details in Epic including contacts
· Follow up with marketing for all outstanding policies and transmit to clients once received and reviewed for accuracy using WEM Outline points in letter
· Creating functional excel spreadsheets including tables, formulas, merge templates, etc.
· Back-up Receptionist duties when assigned
· Drafting and assembling requests for renewal information, if requested
· Investigate and resolve accounting discrepancies (process corrections)
· Client Portal – uploading policies at renewal, requesting sub sites from administrator etc.
The Requirements
· BA/BS degree preferred.
· Minimum 1 year of relevant working experience in a Commercial lines P & C agency or broker organization
· Level 1 Insurance license required.
· Possesses effective verbal and written communication skills
· Possesses excellent interpersonal skills
· Ability to take initiative, complete tasks promptly and with accuracy
· Ability to provide superior customer service to clients and colleagues
· Strong organizational skills in prioritizing duties and multi-tasking, with the ability to consistently meet deadlines
· Strong computer proficiency-Outlook, Word and Agency Management systems (Epic and Choices experience, ideal)
