Position Description
We are looking for a Management Assistant to the Electrical & Electronics and the Metal Vice Presidents in Purchasing. This position is located in Gothenburg, Sweden and will be supporting both VPs and both management team located in Gothenburg, Sweden and Lyon, France.
The position has more management coordination activities than pure assistant tasks and is a great opportunity for someone that wants to learn about the Purchasing world and have an ambition to do more than ordinary assistant work and has career ambitions. It's a position with a high level of responsibility and the right candidate will act as the heart of the Management team.
The right candidate have an open and positive attitude, is flexible and like to work in a high pace environment. The candidate will work proactively, independently and should have the ability to work on your own initiative. The job requires good networking; therefore great ability to communicate, orally and verbally, and to work with people on different levels and in different areas is essential. It is also requiring a good knowledge and interest in working in different systems and tools as share points, teams, notes etc.
To be successful in this position you need to have a high level of integrity and ethics, dedication, commitment, loyalty and sound judgment. You will also need to be proactive and experienced in handling a wide range of executive and administrative support. Finally, you must be exceedingly well organized and flexible.
Main activities & Responsibilit y:
· Support the Vice Presidents with travel, business and general administration and agenda proposition and planning
· Be a member of the E&E and Metal Management Teams, coordinate and manage day-to-day issues, support and follow-up plans and activities
· Plan and organize and take minutes in the department meetings
· Prepare documents, presentations and reports
· Responsible for the department's administrative routines as well as Sharepoint
· Continuously improve administrative routines
· Manage budget and cost follow up
· Responsible for the information flow within the department including team building events
· Contribute to a good teamwork within the department
· Drive, coordinate and follow-up Project administrative topics
· Coordinate activities with the other assistants in Gothenburg and in Lyon, France Qualifications:
· You have an international approach/interest and a global mindset with advanced skills in English
· You have good knowledge of the IT systems (advantage if systems used within Volvo)
· You have good administration and communication skills, are service-minded and flexible, have the ability to co-operate, to handle sensitive and confidential information and have personal integrity
· Ability to take ownership of the tasks and are able to organize, structure and prioritize a wide range of issues in an effective way
· Excellent interpersonal & networking skills
· You have a proactive approach likes to drive activities
· Knowledge about the Volvo organization and administrative routines is an advantage
· Relevant education and experience from similar positions
