Job Title: Office Manager


 


We are looking for a full time experienced high-level Office Manager. The Office Manager oversees aspects of daily executional operations within UXUS andwill report to the Operations Manager and Managing Director.


 


General responsibilities include:


 




  • You will be responsible for the managing of
    day-to-day office operations, consistent with agency’s internal policies.


  • Focused on building
    strong, lasting relationships with 3rd party consultants.


  • Responsible for
    procurement and maintenance of all office related vendors


  • Basic office IT knowledge to m
    anage 3rd party IT support


  • Working closely with the Operations Manager
    to continue the development, implementation and control of IT Systems, SOX and compliance


  • You will work closely with the office
    Receptionist / Operations Assistant, overseeing their responsibilities


  • Manage
    and oversee travel bookings and itineraries

  • Welcome new joiners and introduce them to the team and company handbook

  • Ensure the most efficient filling system is in place with respect to office management

  • Liaise with landlord on building administration


 


Human Resources & Facilities Management


 



  • Maintains accurate and secure personnel information by ensuring that all personnel files are current.

  • Ensure appropriate documentation and are maintained in a secure and confidential manner consistent with regulatory requirements.

  • Update illness and holiday overview of staff

  • Manages staffing requirements by monitoring contracts.

  • Alerting Operations Manager to upcoming contract expiration dates and job evaluation deadlines.


  • Drafting
    employment contracts, renewals and terminations as needed


  • Place job advertisements
    online


  • Setting up freelance and 3
    rd party contracts


  • Support new hires in finding housing, setting up bank account
    etc.


  • Prepare
    and submit all mandatory work permits for skilled migrant and 30% ruling

  • Maintains a positive work environment by through leading by example.


  • Identifies current and future facilities requirements by assessing space requirements for personnel, equipment, furniture and storage; requisitioning and costing modifications to facilities.



 


Financial


 



  • Ensure that day to day and office expenses are reported correctly to the Financial team


  • P
    urchase Order Management


  • Tracking and reporting on
    monthly freelance costs


 


Risk Management


 




  • Maintain
    Health and Safety proceduresand protocol

  • Sickness and Health Insurance Management


 


Qualifications


 




  • Minimum of 5-7
    years managerial experience.


  • Fluent in English and
    Dutch, verbal and written required. Additional language skills a plus.


  • Solid business acumen,
    able to anticipate and plan for business needs in advance.


  • Exceptional organizat
    ional skills and follow through, capable of exercising sound judgment in prioritizing and executing projects and tasks.


  • Excellent communicator,
    able to bridge lines of communication at all levels.

  • Strong Internet and computer skills.

  • Ability to operate effectively in a fast-paced entrepreneurial environment is essential.

  • Polished, articulate, assertive, self-motivated enthusiastic individual.

  • Flexible and willing to go beyond job description
