Job description
Sales Administrator
Ubiqus is recruiting a Sales Administrator for our Contract Department. The appointed individual will be responsible for processing client orders, liaising with production to ensure documents are produced to the clients’ demands, invoicing, extracting and presenting information from the database that will be used for client meetings, and focusing on ensuring the highest levels of customer service are offered to the clients.
This role is looking to be filled as soon as possible.

Role
The Contract Sales Administrator will be responsible for managing a small portfolio of clients, but with the largest turnover in the company. The primary objective will be to:
Process Clients Orders
The Contract Sales Administrator’s primary role is to process orders from one of the contract clients from point of order to invoicing. In such a role the Administrator will act as the day-to-day point of contact at Ubiqus for these clients and has to have a good phone manner, and experience of dealing with inquiries over the phone and via email. In 2015 over 3,300 orders were processed.
Once orders have been entered on the database they must be tracked through the production stage all the way to delivery. Once delivered, the Administrator is then responsible for invoicing the client. Any issues with invoices will be for the Administrator to resolve.
Meetings with the client base take place once a quarter, for which the Administrator must compile data and present this to the client.
The Sales Administrator is not tasked with developing new business, but every attempt must be made to promote the company, secure Ubiqus’s reputation and ensure margins are maintained.
Attention to detail, high level of customer service and strong communication skills are vital to the role. The role is highly dependent on strong data-entry skills, a high attention to detail, and quick response rate.
Full training will be provided on all the services offered by Ubiqus.
Role responsibilities
- Meet KPI targets on response times, accuracy and turnover;
- Work with the sales manager to determine successful strategies for business development;
- Gain a full understanding of each client’s business and requirements;
- Use a range of techniques and tools (including calling, targeted emailing and brochures) to introduce and promote our solutions to potential clients;
- Develop new and existing relationships to increase client product knowledge and generate cross selling opportunities.

The successful candidate would be contracted to work 40 hours a week on our central London offices.
