Job Description
The Logistics Department of TOTALGAZ is looking for Logistics Coordinator to join their team. The responsibilities of the job are:
1. HSEQ
· Monitor supplier HSEQ performance by conducting planned and unplanned observations
· Monitor transport HSEQ objectives and standards.
· Monitor supplier non-conformances.
· Enforce and implement group rules, objectives and recommendations.
· Monitor transport HSEQ performance and do event analysis.
· Do incident investigation and root cause analysis.
· Conduct toolbox talks and meetings.
· Do route risk assessment.
· Implement and monitor the transport management program (PATROM).
2. Distribution
· Ensures that distribution cost for LPG and any other company equipment are kept within allocated budgets at most economical levels.
· Liaises with contracted transport companies operations controllers to ensure the most economical customer delivery routes are used and distribution improvements are communicated, agreed to and implemented by transporters.
· Ensure that optimal payloads are always loaded.
· Review fleet requirements based on demand needs.
3. Transport
· Co-ordinate all operations and agreements in terms of contracts/amendments, rate adjustments, performance, product gains /losses and fleet management
· Ensure that transporters have adequate orders to load at refineries.
· Follow bulk order and delivery procedure.
4. Transport Service Providers
· Daily inform the contracted bulk transport operations controller/s regarding delivery instructions and customer delivery details.
· Liaise with the Customer Services department regarding customer’s daily percentage and deliveries.
· Follow up on updated and customer eta’s.
· Liaising with transport service provider regarding driver issues / complaints and shift changes.
· To liaise with the contracted bulk transport Operations Controller/s regarding vehicle maintenance schedules and effectively plans and allows for scheduled maintenance.
· Ensure breakdowns are resolved quickly and efficiently.
· Log monthly breakdown /downtime reports.
· Monitoring of trucks via OBC tracking.
· Ensure most economical routes are used at all times.
· Continuously monitoring vehicle movements on a daily basis
· Updating plans regularly.
· Needs to be monitor and give feedback on delays
· Monitor OBC violations
· Monitor safe to dispatch
· Monitor safe to loads
· Ensure daily reporting of incidents and accidents
5. Administration
· Monitoring fleet down time reports
· Verify operations KPI reports
· Verify month end transporter billing reports
· Update Fleet KM reports and operation trends
· Verify delivery stats
· Raise suppliers’ orders
· Raising orders on the various refineries and issue to transport contractors-Operations Controllers.
· Stock controlling – compilation of daily vehicle stock reports
· Investigate delivery variances and meter losses.
· Order updates
· Assist Logistics and Supply Manager with the compilation of month end stats for Dashboard purposes
· Assist DPS Coordination

Candidate profile
· Diploma in Transport / Fleet Management & Logistics or studying towards one.
· Minimum two years relevant experience
· Ability to communicate and negotiate at different levels, both internally and externally.
· A “hands on” experience and knowledge of fleet operated vehicles and related economics, company infrastructure, logistics, administration and systems.
· Must be computer literate in Ms Office Suite
