Job Description
Total South Africa has an exciting new opportunity available for an HR & Payroll Administrator!
In this role, you will be responsible for:
HR & Payroll Administration processing and administration
· End to end payroll processing (SAP) by ensuring accuracy, consistency and efficiency for South Africa, Namibia, Botswana and eSwatini which includes updates/changes of earning deductions company contribution and Fringe Benefit Tax during on boarding employee life cycle and off boarding inclusive of updating master data, leave and Elevate access.
· Preparing the monthly audit binder by using exception reporting based on variance methodology to ensure that all changes have been approved and validated with supporting evidence, completion of checklist items
· Cash management for all payroll payments including monthly, weekly and external payments
· Submitting all benefit and statutory schedules and proof of payments to vendors/service providers on time
· Preparing annual and bi annual PAYE,SDL and UIF for RSA and testing SAP and easyfile validations
· Updating easyfile with EMP 501 in August and February and reconciling to payments
· Updating Ufiling for UIF RSA including sending monthly declaration file
· SRA electronic PAYE and graded tax submissions, BURS electronic PAYE submissions
· Preparing all Namibia, Botswana & eSwatini tax certificates and monthly filing requirements as legislated by the relevant legislation
· Collaborating with Finance to ensure that all payroll control accounts are reconciled timeously and journals finalized
· Daily and monthly filing of all payroll input and personnel files in methodical manner
· Requesting historic files/documents from Metrofile
· All queries related to medical aid, pension, provident fund for all countries
· Disability and Dread disease claims
· Activation, changes and termination of medical aid membership for all funds and countries
· Submission of new hire forms to various retirement funds
· Withdrawal forms for all funds relating to pension and provident funds
· Dispatching of payslips and general queries relating to payslip values
· Preparing monthly and daily payroll calendar timelines and ensure that all deadlines are met
· Compliancy to Company Policies and Procedures
· Payroll records- maintained with the highest levels of confidentiality and integrity both hard copy and soft copy
· Collaborate effectively with recruitment to ensure receipt of all source documents relating to employee life cycle is timely and within deadlines.
· Share Administration
· From time to time perform ad-hoc tasks Customer Service
· Reviewing processes, identifying areas of improvement and recommending changes that will increase accuracy and efficiency
· Seeking to improve operations, and decreasing turnaround times, to enhance customer service.
· Measuring the cycle time it takes to resolve payroll problems and responding to queries.
· Carrying out customer satisfaction surveys to measure service delivery.
· Engaging monthly with all stakeholders to ensure allignment
HSEQ
· Participating in quality assurance reviews to ensure error-free payroll operations.

Candidate profile
You possess the following :
Qualifications & Experience:
· A relevant tertiary qualification (Human Resources or similar)
· 2 - 5 years HR admin experience.Certification as a payroll practitioner would be preferred.
· Experience and advanced knowledge of SAP payroll system.
· Thorough knowledge of payroll principles, practices, regulations, policies and procedures as well as relevant legislation for South Africa, eSwatini, Botswana and Namibia.
