Your responsibilities
thyssenkrupp Elevator Americas is currently seeking an experienced Office Administrator to join our world class team in Boise, ID .
Essential duties and responsibilities:
· Performs Install Base maintenance as needed. Releases safety inspection tickets and creates admin tickets
· Updates call list and communicates information to District Dispatch
· Runs and reviews reports for service manager, including Risk, WIP, Routing, TK Exact and Missed Visits
· Compiles TK Trips and acts as gatekeeper
· Assists mechanics with ITS downloads, PDA troubleshooting, brochures and tools
· Assists managers with safety meetings and maintains documentation
· Assists service manager with a review of weekly pre-invoicing reports
· Creates parts requisitions and receives parts
· Reviews weekly report of un-received invoices
· Performs research for Service Manager; which may include running Account History reports, missed service reports, sick unit reports, researching billable calls
· Ensures that all non-billable repairs are sent to the district repair administrators for input
· Provides manpower scheduling to district repair administrators and informs them of scheduling changes and urgent repairs
· Participates in weekly repair back log meetings with managers, sales and district repair administrators
· Assists Repair Superintendent with customer communication prior to scheduling repair work
· Sends copy of down payment checks to regional AR, regional repair coordinators and actual checks to Atlanta
· Finalizes returns for repairs and assists with T & M repairs
· Works closely with the regional repair coordinators and regional payroll/extra billing administrators
· Sends turnover approval requests and schedules final inspections
· Receives final acceptance forms from the field, inputs the information date into Jobsite, notifies appropriate personnel, and forwards a copy of the final acceptance form to the regional billing rep.
· Reviews booking packages and provides necessary documentation prior to submitting
· Assembles project file, truck folder, and mechanic folder with required documents
· Reviews distributor report for ship dates; updates JobSight
· Reviews files and determines appropriate permits needed
· Obtains permits
Your profile
· Knowledge of elevator service and repair administration preferred
· General business knowledge normally acquired through two to three years of equivalent combination of education and experience
· Contract administration experience, preferred
· Good attendance record and strong customer service skills
· Ability to remain calm when confronted with difficult situations
· Takes direction in a positive manner
· Team-player with strong communication skills
· Strong computer skills and understanding of Word, Excel, Outlook and Oracle based programs
