Position Overview:

Global Workplace Strategy and Operations is a department within the shared services operation, Global Business Services, of the Coca-Cola Company.  Our mission is to provide a broad range of workplace services to Coca-Cola office locations globally.  Our services include day to day site services, such as facility management, office services, lifecycle maintenance and repair and amenity services.  Some of our other functions are full workplace design services, construction project management, workplace strategy and planning, workplace technology, branding, digital content management and more.  Our role in The Coca-Cola Company is to be subject matter experts across 207 countries in order to gain economies of scale, deliver a high level of customer service and design and build the next generation of workplaces for our great brand.  We are assembling a new team to expand our operation globally and looking for expertise to join our mission.

Position Summary

The individual will be a pro-active leader responsible for supporting strategies and contributing to the success of the department by utilizing workplace specialized tools and resources to effectively develop processes and procedures to effectively track workforce headcount (associates, contractors, vendors etc.) requirements and physical space occupancy status across multiple commercial office properties and large business units. They will hold the “book of record” for the Company for this critical data. They will need to be able at any moment to answer the questions of “how much space is available today?”, “where is that space?”, “what are the headcount projections by business unit” and “what actions are required to support space needs” and be able to reconcile discrepancies.

The role will need to compare over time actual seat demand vs. projected seat demand by building, by business unit.

They will coordinate with space planners and move planners who will use the data and analytics provided by this position to ensure they understand and can effectively produce options to meet business needs.  Assist space planners with creating building stack plans and ensuring data accuracy.  Coordinate with programming resources to ensure internal client space requirements are understood and how they impacts the overall picture of seat demand.  Role will also forecast inventory changes for a rolling 3 year timeframe by location and business unit.  Be able to report real time supply and capacity and quickly respond to business climate changes.

The role will need to understand and embrace current and leading edge technology solutions they will use to do their job.  They will assist the Sr. Workplace Strategist in selection and implementation of technologies as needed.

KEY DUTIES/RESPONSIBILITIES:

1.  Research occupancy capacity and conditions at Coca-Cola commercial office locations globally to develop a baseline inventory and status.

2.  Develop and produce occupancy data and analyses and reports reflecting options to support desired capacity

3.  Implement proper technology in order to maintain “book of record”/tracking database for workforce planning and occupancy status globally

4.  Resolve data discrepancies and problem solve specific situations     

5.  Proactively collaborate with leaders across the Global WP Strategy and Operations team, Executive Assistants within large business units (CCNA, CCR, BIG etc.), facility managers in countries and more through routines in order to maintain accurate data and a true understanding of each situation.         

  Education:   Bachelor’s Degree

Related Work Experience:   At least 5+ experience in a complex corporate environment; 5+ previous experience in complex occupancy planning across multiple commercial sites.  Global occupancy planning preferred.

COMMUNICATION COMPLEXITIES:   Indicate the level, purpose and complexity of the communications inside and outside TCCC. (Examples:  Across business unit, groups or global communications; Dissemination of information internally, externally or mixed; Negotiations with one party internally or multiple parties externally, etc.) Include any Company spokesperson responsibilities.

Internal communication only other than with contracted vendors.  Communicate easy to understand reports and data to specific SME’s on a routine basis and ad-hoc basis. Foster critical relationships through the accurate reporting of information an operational efficiency between Business Unit leadership, Corporate function SME’s, client-facing roles in Global Workplace Strategy and Operations organization, Corporate real estate function, Facility management and more. Collaborate with space planners and move planners to ensure the accuracy of date supporting their work.

Ability to represent work at a higher level through effective power point presentations for executive consumption.

ANALYSIS: Expectation is this role will explore new ways to create efficient processes and procedures to produce quality data and new ways to provide this data in useful ways to collect and supply data in a useful form to multiple stakeholders. The role must be do analysis on the data in order to deliver useful insights.  The role must be proactive in resolving data discrepancies.

JUDGMENT AND DECISION MAKING:   The person must be able to interact with SME’s at all levels of the organization in order to gather information, spot patterns, make day to day decisions on how to represent data and insights.  They will not be making significant business decisions.  They will make recommendations to their immediate manager regarding technology tools, options to present to solve a particular internal client need etc.

INNOVATION: The expectation is this role must embraces the newest technologies, benchmark with other companies for learnings and develop the most streamlined approach that will produce quality data and analysis all the time.
