Human Resources Coordinator – maternity cover –
based in Istanbul

Position Overview

As HR Coordinator you will provide local Global Business Services (GBS) HR support to the Turkey, Caucasus and Central Asia Business Unit (TCCA), and split your time between completing local HR tasks, mainly for Turkey, and wider geographical GBS HR Operations support to Azerbaijan, Kazakhstan, Georgia, Armenia and Uzbekistan.

Your main responsibilities will be connected to providing support and assistance to associates in HR matters, and for respective resolution which requires local presence. You will provide support on administrative and HR tasks that are not covered by the regional or Global Business Services but are required to be carried out at a local level.

In this role you will be expected to act as the local face of the GBS HR Operations and serve as its ambassador in local markets to ensure that the operating model of the HR Services is followed.

Key Responsibilities

·  Education and Support for Employees : Educate associates on the GBS HR Operation model to ensure that they are confident in using the HR tools and processes.
·  Employee Records Management : Employee personnel files and records management (hard copies) and administration for the business units, to meet statutory requirements for government inspection and audits. Create and archive HR files in accordance with statutory requirements, and ensure a classification and identification process for access for auditing purposes as needed (in relation to current and former employees).
·  Wet Signatures : Coordinate getting wet signatures for contracts and other HR-related documents in Turkey, against the chart of authority for Turkey, as advised by GBS and vendors, copy documentation and file.
·  Learning/Training Administration and Coordination : Provide ‘on the ground’ support for training delivered locally, in cooperation with            Coca-Cola University/Talent & Development Manager (distribution of training materials, ensuring correct set-up of the venue, ordering catering and providing local assistance to the training facilitators).
·  Mobility Administration: Provide support to the in-bound assignees with locally required documents (such as visa, work permit or address registration application) and forms in cooperation with the Mobility team and the vendor. Prepare required documents for expats’ customs clearance process and supporting preparation of other required documents e.g. health insurance.
·  Compensation & Benefits On-site Coordination : Provide support to the C&B team in any related local activities, to make sure that the benefits programs are managed and maintained according to the plans. Provide administration support for absences and leave management. Provide administration support to the service awards process.
·  Payroll Support : Process payroll related payments to the third parties by the bank transfer letters sent by the payroll team. Provide requested documents for Turkish Tax Compliance Services done by the consultancy firm.
·  On-boarding : Collect all necessary documents from new hires and make sure the documents have been filled in and signed as required by the local rules or legislation. Organize and deliver an on-boarding session for new hires regarding local rules, local benefits, HR support model etc.
·  Separations : Support local separations process for any required local activities in close cooperation with Separation Analyst, ER and other GBS HR functions. Oversee and ensure the separation checklists are gathered and sent to respective HR team prior to the final separation date.
·  Coordination of Temporary Staff: Provide administrative support and coordination of temporary staffing in close cooperation with external agencies and managers.
·  Coordination of Interns and Working Students Programs : Coordinate the process for intern new hire and termination documents. Intern timesheet coordination and collection on a monthly basis ensuring appropriate approvals are obtained and submitted for payroll process.
·  Support Local Initiatives: Provide support to locally driven initiatives such as: MyHealth, MyLife, Work-life balance initiatives, Employer of Choice, etc.
What you need to be successful


·  Bachelor’s degree in Human Resources / Social Sciences or a related field or equivalent related work experience
·  HR Generalist background and/or experience in shared-services organization desirable
·  2-3 years of experience in administration roles
·  Organized and logical and professional in communications with others
·  Turkish (mother tongue) and Business English (oral and written) communication fluency essential
·  Experience in case management tools usage
·  Focus on timely and consistent execution with quality, strong attention to detail, and ability to multi-task and prioritize
·  Being a change agent - ability to live with and manage ambiguity
·  Curiosity and continuous learning and process Improvement mindset and delivery
