JOB TITLE: Project Administrative Assistant

WORK LOCATION: Toronto

JOB PURPOSE:

To provide secretarial support to the Project Managers & project team for assigned projects.

JOB FUNCTIONS:

· Maintains project filing system by ensuring that all information are kept up to date and in order. Distribute all documentation and correspondence via hardcopy or e-file.

· Accurately and neatly produces company correspondence by word processing of all internal memos and external letters to customers and records on ongoing customer correspondence Dbase where required.

· Faxe and courier or mail letters to customers.

· Provide courteous interface by answering phones and greets customers and other visitors, including arranging their temporary facility needs.

· Collect & distribute monthly dashboard. Coordinate with Project Manager (or APM) the preparation and timely completion of bi-weekly and monthly reports to Management and customers.

· Maintain databases for tracking of documents, material and other project deliverables.

· Supports purchase requisitions, IRFs and RMAs for project materials (SAP).

· Arrange meetings (schedule, notification and catering).

· Make travel arrangements for all staff travelling to project sites.

Key Skills and Qualifications:

· Grade 12 education plus 2 to 3 years administrative experience or equivalent

· Computer skills – Word, PowerPoint, Excel, Lotus Notes

· Good oral, written communication skills and excellent organizational skills

· Incumbent must have ability to handle peak loads and prioritize work load, Self starter

· Ability to work independently
