Position Title: HR Shared Services Specialist
Main Responsibilities:
· Manages, tracks and monitors onboarding process (designs communications, sends out PIN notification, drafts employment agreement, distributes new hire PIN, entries of one time payments such as: employee referrals, sign on bonuses, completion bonuses etc., escalates accordingly to hiring manager and recruiting team, tracks completion and follows up to ensure successful onboarding process).
· Maintains master employment agreement templates and onboarding packages to ensure compliance
· Accountable for maintaining data records pertaining to employee record tracking in paper or electronic filing.
· Maintains HRIS data records and workflow pertaining to employee and ensures entries are timely, accurate and consistent
· Inputs information resulting from organizational adjustments, cost centre transfers, promotions and progressions.
· Participates in HR process improvement initiatives and special projects
· Responds to all employee queries related to HRIS, payroll, HR policy and process. Adheres to the education, policy, process and tools provided to respond to the queries and escalates accordingly to the subject matter experts
· Completes weekly and monthly regular ongoing reporting
· Manages employee leave of absence requests (STD/LTD, maternity/parental, personal, etc) and inpatriate/expatriate payroll requirements. Updates system accordingly
· Provide administrative support to the various HR processes and programs;
· Prepare various employee letters in a timely manner for HRIS workflow
· Compiling monthly Headcount and OBR report. Generate standard HRIS reports as requested and assists in building analytics
· Management of disability cases, including ensuring that line managers and HRBPs are kept well informed of the status
· Track and follow up on employee reduced work weeks
· Track and follow up on employee unpaid leaves and manage letter generation
· Manage Family leaves (ie Parental/Maternal)
· Employment Equity data updates and reporting
Key Skills and Qualifications:
· Post-secondary education in HR or related discipline
· 0 – 5 years' experience in Human Resources
· Experience in international company and/or shared services HR function an asset
· Advanced computer literacy – HRIS/Payroll package, MS Office (Excel, Word, Access)
· Good organizational skills, initiative and ability to work independently
· Accurate and efficient administration skills and attention to detail
· Excellent interpersonal and communication skills
· Ability to work with people at all levels in the organization
