Job description
WHAT YOU CAN EXPECT
A fast-paced permanent position has arisen for a Business Affairs Coordinator to join the Swarovski Corporate Branding and Communication (CB&C) offices based in London, where the individual will be responsible for supporting the entire Business Affairs team with a number of legal and administrative duties.
Main duties will include but are not limited to:
Legal duties:
· Independent negotiation, drafting and review of low risk/low value agreements (with reference to internal templates and support of other team members).
· Assisting in drafting and reviewing mid-risk/mid-value agreements (using previous contracts/templates as a basis).
·
Where requested, initial drafting of mid-high risk/value agreements.
Meeting commercial timelines in respect of contracts and supporting teams where possible to meet this.
· Liaising with insurance team, procurement team and both central and global legal teams where appropriate.
· Liaising directly with team members on a regular basis to identify commercial requirements within contracts, scoping of projects, receiving briefings from project teams and overseeing and managing the contract initiation process for CB&C (ensuring good practice and minimisation of risk).
·
Acting, together with the other Business Affairs team members, as a legal contact for colleagues from all departments.
Identifying key contracts to create a legal ‘key dates' calendar and to extend invitations to teams for such deadlines.
· Updating existing templates by identifying key contractual terms and assisting with standardising relevant clauses and (where applicable) acceptable stages of negotiation.
· Assisting in the creation of one clear template folder to ensure all templates are up to date with boilerplate terms, tax clauses, formatting and numbering.
· Assisting in the creation of regular basic legal and commercial knowhow guidance notes (e.g. on legal updates, changes in legislation) for team members and consideration by commercial teams/managers.
· As and when required, assisting with projects including extension of office lease for office move.
· Copy checking contracts prior to signature and/or following receipt.
· Providing legal training and legal and commercial refreshers as and when required.
· Staying abreast of relevant legal developments.
·
Ability to provide solution-orientated advice for CB&C.
Administrative duties:
· Assisting with planning and implementing procedures and systems to maximize operating efficiency within the Business Affairs department.
· Updating the contract management system ensuring the terms and status of the contracts are accurately reflected on the contract management system.
· Scanning of contracts/naming PDFs and filing correctly on to the system (this includes the backlog of contracts and also the day to day executed contracts).
· Filing hard and original copies of contracts and backlog of contracts/ invoices.
· Liaising with other offices, as well as the finance team, and arranging for approval and signature from company signatories.
· Preparing weekly notes update for head management and legal reports.
· Calculation and preparation of metrics showing the Business Affairs team's contribution to CB&C functions (e.g. hours/ number of contracts/ budget).
· Preparation of Microsoft PowerPoint presentations (as and when required) including Executive Board and/or Beirat presentations.
· Managing calls for the Business Affairs Team.
· Organising travel arrangements for the Business Affairs Team.
· Arranging meetings and conference calls.
· General office duties such as stationary ordering for the Business Affairs Team.
The ideal candidate will have the following skill set and experience
· Experience undertaking a similar role in a similar environment is highly desirable/ Paralegal experience
· Degree level educated or equivalent
· LLB/GDL (essential), BVC/LPC/BPTC (desirable).
