Summary

We are offering a fantastic opportunity for someone to join our existing team as the Events Coordinator, this role works closely with the course organisers to facilitate the training courses. Taking a lead on transportation and accommodation logistics as well as acting front of house to welcome our guests into the facility and ensuring their needs are met in a timely and professional manner.

The Smith & Nephew Expert Connect Centre sets the standard for world-class medical education and surgical skills training in Orthopaedics, providing learning opportunities for delegates from across the globe.

Designed for surgical education and exploration, this leading-edge facility provides surgeons with the perfect environment in which to develop, learn and practice the latest surgical techniques relevant to their specific areas of professional interest. The Centre offers a range of training opportunities across the entire Smith & Nephew surgical devices portfolio, including arthroscopy, arthroplasty and orthopaedic trauma. In addition, several courses incorporate educational elements that focus on Smith & Nephew's range of wound management products.

The Expert Connect Centre features an expansive, multi-station skills lab that is dedicated to hands-on training and will accommodate single groups of up to 42 participants (or multiple, smaller groups at one time). The facility also features a modern lecture auditorium, with seating for 80 and cutting-edge audio-visual capabilities, along with lounge areas with internet access and refreshments.

Essential Job Functions

Maintain responsibility for all aspects of calendar and bookings management for the Expert Connect Centre, including:

· Taking bookings for European, country and sales organised educational events, optimising use of the centre

· Communicating the calendar and ECC availability

· Chasing booking forms

· Communicating course requirements to the rest of the ECC team, reception and catering teams

· Maintaining up-to-date documents such as promotional material, price lists and booking forms

· Recording cancellations, analyzing and tracking the utilization data for the bioskills laboratory

· Provide logistical support to ECC – based educational events, including as needed:

o SWAT entries

o CVent administration

o Faculty and delegate travel, accommodation and eating arrangements

· Involvement in creation of documents such as agendas and feedback forms including creation using InDesign

· Provide front-of-house support for all courses. Be the ‘face of the ECC', assisting in registrations, local travel, advice for hotel and restaurant bookings, audio-visual needs, organisational enquiries etc.

· Manage the invoicing process for the ECC, ensuring that all invoices are processed in an accurate and timely manner.

· Maintain records of all courses and surgeon attendees.

· Assist the Laboratory team and the ECC's Person Designate for Smith & Nephew's Human Tissue license in ensuring compliance with the Human Tissue Act.

· Have an understanding of the Human Tissue Authority requirements and codes of practice.

· Provide administrative support to the Lab Manager and team.

· Some travel to European ProfEd meetings may be required.

Desired profile

Requirements

· Educated to a minimum of A-level.
· Strong administration and organisational skills
· Minimum of 2 years' experience in a business administration role essential, ideally event management
· Experience of interacting with customers
· Strong English verbal and writing skills – must consistently and effectively communicate with others. Other European languages an advantage.
· Customer oriented – mindful of customer needs and how to satisfy them
