Mission
Provide high level secretarial and administrative support for Vice President, requiring discretion, confidentiality, broad and comprehensive experience, skill and knowledge of the business and organization policies
Key Responsibilities
1. Manage the executive's schedule. Arrange appointments and travel to make best use of their time. Anticipate needs. Be resourceful; know when and how to take initiative to handle non-essential tasks, freeing up executive's time to concentrate on strategic side of business.
2. May have access to the executive's email accounts to schedule their appointments and answer or redirect routine enquiries from internal or external sources.
3. Keep executive organized. Must be updated on each project they are working on with information immediately available. Have streamlined procedures in place. Strong attention to detail.
4. Maintain understanding of business strategic goals, to support executive without constant supervision and direction. Be able to gather, compile, verify, and analyze information for the executive to use in documents such as memos, letters, reports, speeches, presentations, and news releases.
5. Leverage strong speaking and writing skills to facilitate smooth communications between the executive and other executives, manager, and employees; and between the executive and external parties such as media, customers, and the public. Convey air of authority, competence, and clarify when speaking on behalf of the executive; know what image they want to project. Act and present yourself in keeping with the executive's priorities, values, and goals.
6. Handle confidential information and maintain the security of the executive's records and files. Show excellent discretion in all communication regarding the executive or business. Must be fully invested in doing the right thing at all times.
7. Maintain the executive's office and accounting records; monitor, review, and approve standard expenditures to ensure that the activities of the office are conducted within established budgets.
8. Perform other administrative tasks using independent judgement and discretion. Must be able to balance numerous projects. Plan, organize, and schedule own workload so that these activities are completed accurately and on time. Must be persistent and diligently follow up. Be comfortable insisting on getting results without being confrontational.
9. These activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
10. Perform special project duties as assigned.

Associate's Degree required. Bachelor's degree preferred
