How we work in Procurement?

Everything Novartis buys is categorized into a spend area. This is either direct spend as in TechOps (at the production sites), where the category is actually involved directly with the drug, its packaging etc. It can also be indirect spend e.g. Marketing, Sales, IT, Facilities etc. that indirectly touches the final product (e.g. through advertising, systems, buildings etc.).

Procurement, together with the business, creates different buying strategies depending on the category, analyzing market intelligence, making suggestions on what is required (our demand) and then identifying appropriate suppliers and managing contract award. Large global contracts, including 'high-level' terms and conditions, act as an umbrella over a local contract where purchases are actually made, i.e. in the countries or Divisions. These contracts are signed with preferred suppliers and Procurement leverages the scale of Novartis cross-divisionally to receive preferential terms and maximize value for the Company. These negotiations are pretty significant when you consider that we spend over USD 19 billion annually.

We also work closely with suppliers. The better our relationships, the easier it is to unleash innovation and create value for both parties. In addition, market conditions can change over the life cycle of a contract and we may need to work with suppliers to find a new solution. For example, the NBS Procurement team acted quickly to dropping oil prices and the changing value of the Swiss Franc to identify more than USD 120 million in potential savings for 2015.

Operational and transactional – managing the procurement process and the supply base efficiently and effectively.

Once a contract is in place, goods and services can be ordered and received and Procurement works closely with FRA (Finance) to ensure the transactions run smoothly and our suppliers get paid.

We seek the best deals for Novartis. eSourcing – meaning that suppliers bid for business against each other in an e-auction environment – is just one of the channels used to help drive successful savings outcomes when making purchases. We also work closely behind the scenes handling supplier issues and making sure internally there is compliance to the contract. All of these processes require policies, processes and standards which are defined globally and implemented at a country level within the business.

We also ensure that our goods and services are ethically sourced. Through our Responsible Procurement program we filter out the suppliers who present little or no ethical risk, allowing us to concentrate our efforts on the small number of suppliers where a significant risk exists or where we can influence change. Most importantly, this program seeks to give us clear insight before we buy. We call it "buying with our eyes open".​
