Responsible for the day-to-day support of the oMAP/EOC System and tools that support the development, review, approval and release of customer oriented materials. Manage Help Desk and recommend process improvements that increase efficiency while ensuring compliance.
Major Activities:
• Manage daily oMAP/EOC system operations
o Serve as Help/Service Desk key contact to facilitate resolution of system issues in a timely manner
o Participate in defining and analyzing requirements for system improvements and enhancements
o Oversee management of Approved Materials and Reference Submissions
o Oversee management of task delegations and workflow modifications (pause, cancel, re-start)
o Manage system user access
• Add, remove, edit user profiles
• Manage Digital Asset Library folder permissions
o Update system configuration within oMAP/(extended attributes, agency lists, etc)
• Manage/maintain master team rosters, distribution lists for emails and role mappings
• oMAP/EOC Communications
• Back up for email notifications, department communications, etc
• Develop and email MAP departmental communications re: system updates/outages
• Analysis/ Reporting:
o Identify data gaps and define and analyze requirements for Metric Reporting
o Develop Quarterly Metric Reports for OBU
o Manage and Maintain active automated report requirements and distributions
• Update system to accommodate advances in technology while ensuring compliance and Adherence to Novartis policy
• Main point-of-contact for Legal/litigation requests for historical data, and have the knowledge/expertise to provide accurate reporting from various systems to internal or outside council (from oMAP, APEX & PRTS systems)Support Operations team with UAT coordination for system fixes/updates
• Serve as a trainer for oMAP classroom training and update training materials as needed
• Manage the class rosters for In-Person oMAP training

Minimum requirements
Education (minimum/desirable):
• BA/BS degree in Business, Marketing, or Communications.
• Strong project and process management experience
Experience/Professional requirement:
• Minimum of 3 years experience in pharmaceutical industry, IT or Pharmaceutical Advertising Agency
• Working knowledge of FDA and Pharmaceutical regulatory and compliance guidelines on advertising and promotion
• Working knowledge of Integrated Marketing Management platforms
• Solid understanding of pharmaceutical review and approval process required
• Functional experience in regulatory, medical, pharmaceutical marketing operations, sales or communications.
• Demonstrate persistent follow through and ability to juggle shifting priorities with ease
• Strong collaboration, communication and negotiating skills
• Strong leadership, motivation skills with ability to influence without direct responsibility
• Results-oriented ability to deliver under tight deadlines
• Proficiency in computer applications, including Microsoft Office, Adobe Acrobat, PowerPoint and Aprimo Marketing Studio
• Willingness to train and coach others
