Provides high-level administrative support to executives and management groups by executing the day-to-day operations of the office. Handles information requests, gathers materials for reports and performs clerical functions such as preparation of correspondence, receives visitors, arranges conference calls, and schedules meetings. Able to work with minimum supervision and thrive under pressure. Proactive, resourceful, and efficient with high level of professionalism.
Major Accountabilities
• Acts as a liaison between the executive and the management team, CEO, private and public corporations and customers at all levels.
• Schedules meetings and travel arrangement and organizes and maintains the executive's itinerary.
• Handles telephone inquiries for the Executive, reviews incoming correspondence and documents, and where appropriate, requests further analysis, clarification and/or delegates material for follow-up. Reviews urgent matters with Executive for action.
• Drafts and coordinates correspondence for the Executive's signature, including e-mail and external correspondence.
• Coordinates and prepares materials and presentations for the Executive's meetings, utilizing Microsoft Office Suite tools.
• Knowledgeable on all corporate and functional policies and procedures.
• Understands all company practices and interfaces with management at all levels.
• Analyzes problems and collaborates with appropriate resources to bring issue/problem resolution to executive.
• Maintains files, processes accounts payables, and prepares/processes executive travel expenses.
• Maintains confidentiality and uses discretion while working through all situations.

Minimum requirements
• BA degree preferred.
• Minimum 5 years of experience supporting high level executive.
• High-level competency with using the Microsoft Suite Office.
• Excellent verbal and written communication skills
• Ability to problem solve
• Excellent interpersonal skills and ability to be diplomatic and use tact.
• Ability to multi-task, prioritize and meet deadlines.
• Experience preparing complex international itineraries and dealing with various time zones
