Workplace Services Facilities Lead - Salt Lake City
In this role, the Workplace Services Facilities Lead will coordinate with the local Workplace Services team to maintain and improve the day to day office services, facility operations, and support tenant improvement projects and internal office moves. This individual will partner with and form a cooperative relationship and interface between building management, engineering, and/or those responsible for maintenance and operation of the facility (Building Engineering: including security contractors, janitorial services, and other various aspects of facility operations). Additionally, the Workplace Services Facilities Lead is a local representative of the Real Estate and Workplace Services team and will be assisting with covering the front desk operations, office administration, and event support. This position requires a high level of customer service.
Responsibilities
· Assist with regular maintenance and general upkeep throughout facility to ensure a clean and safe working environment
· Follow best practice and safety standards for all facility related tasks.
· Handle all incoming requests by responding to clients and resolving the issues, ensuring successful completion and proper communications.
· Identify health and safety hazards, maintenance and repair issues and take appropriate action to remedy findings with prompt notification to management.
· Work to find creative ways to keep operational costs to a minimum, improve efficiency, and implement new facility procedures.
· Support the documentation and implementation of workplace operating guidelines.
· Coordinate and execute employee desk relocations, support conference room and event table set ups and configurations to meet the needs of internal/external trainings and meetings.
· Able to work independently with minimal supervision.
· Available and responsive to the global nature of the business and have the ability to work extended hours as necessary.
· May serve as a Facilities site representative during interactions with cross functional groups, as required.
· Maintain a positive relationship with all the members of the REWS department and on-site customers while promoting a positive team environment.
· Handle all guest and employee interactions with the highest level of hospitality and professionalism, ensuring we are always managing or exceeding expectations.
· Build strong relationships with vendors and building management; maintain best in class service whether issues are resolved in-house or by one of our partners.
· Process purchase orders and change orders.
· Oversee extensive snack/beverage program for the office, including monitoring budget.
· Assist Workplace Services Sr. Manager during construction projects.
· Assist with space planning including working with local leaders to resolve seating challenges, update internal planning tool and coordinate moves.
· Cover the front desk for lunch relief and as needed, including greeting and assisting visitors, assigning badges, and handling daily shipping needs.
· Perform weekly facility inspections, and update repair and maintenance task lists.
Required skills
· BS/BA degree OR the equivalent of education, training, and experience in the facilities field.
· 3+ years experience in a Facilities or Office Services role preferred.
· Awareness of facility management systems.
· Familiarity with coordinating outside contractors in support of facility operations and maintenance.
· Ability to work “On Call”, overtime, off schedule and weekend hours to provide site operational support as needed.
· Competent in G-Mail and G-Cal.
· Understanding of Excel, and basic accounting.
· Basic knowledge of critical utility systems, HVAC and emergency power systems.
· Customer service experience preferred.
· Attention to detail with a proactive and resourceful approach to problem-solving.
