Job description
•Providing support to the Director and Military/Business Aircraft Programs department
with responsibility for a broad range of activities that will require consummate skill in
multi-tasking and prioritizing
•Perform general administrative duties for the Director and the department including
preparation of: expense reports, spreadsheets and presentation packages, maintain
department organizational charts, ordering office supplies, generate charts and graphs,
coordinate travel arrangements, file/archive, arrange meetings, complete visitor access
and compliance requirements, track team whereabouts and attendance, support reception, etc.
•Programs internal/external correspondence coordination
•Providing support to Director particularly while away on business monitoring
email/fax/phone and responding appropriately to inquiries
•Support special projects as determined by the Director/Program Manager.
•5S Auditing of assigned area
•Support Program/Sales Administrators with shipping/data tracking/entry as required
•Coordinate/Measure production line returns through all phases of the RMA process, including quoting where applicable
•Generate and maintain reports, charts/graphs, MOP's to track all phases of the RMA process
•Liaise with internal functions to limit the number of aging items and utilize influencing skills to ensure adherence to deadlines
•Liaise with customers/Field Service Representatives concerning repairs and provide regular status updates
•Critically review repair performance against objectives and raise areas of concern to Program Managers

Skills and Core Competencies:
•A confident self-starter with ability to work independently
•Ability to co-ordinate several projects at one time with aggressive deadlines
•Proven team player with excellent communication (written and verbal), influencing and interpersonal skills
•Detail oriented, with excellent customer service skills
Education and/or Certifications: A College Diploma in Business Administration or equivalent
Work Experience: 2-3 years of experience in an administrative capacity within a Manufacturing environment. Aerospace experience would be an asset
Specialized Knowledge:
•Extensive knowledge of all Microsoft Office applications including Share-point, PowerPoint, Excel and Word
•Strong working knowledge of SAP
Communication Skills
Internal: Ability to communicate effectively with internal functions.
External: Ability to communicate effectively with customers, suppliers and other parties as needed.
